Billing Options

Select the Options button from the Billing screen to display the Billing Options screen. (Select Cashiering > Billing to access the Billing screen.) These buttons allow you to perform additional Cashiering activities for the guest bill that is currently active. Which options appear on your menu depends on the features that are active at your property, and your user permissions.

Agent/Company. Associate the guest's reservation, profile, or folio with a travel agent, company, group, or source profile for a stay or to create a relationship between profiles. This entitles the guest to certain negotiated rates, if applicable, and helps to track commissions for travel agencies and company rate agreements. (See Agent/Company Profile Linkage for details.)

Billing Summary. When the OPP_GCA Comp Accounting add-on license is active and the Cashiering > Billing Summary application function is set to Y, the Billing Summary screen shows a side-by-side comparison of the guest's comped and charged transactions. (See Billing Summary for details.)

Changes. Open the User Activity Log, which displays an audit trail of all activity for this reservation. (See  User Activity Log screen for details.)

Comments. View comments associated to the reservation. Option is available for reservations with a status of Reserved, Prospect, or Checked In. (See Reservation Comments for details)

Credit Bill. Ability to create a credit bill for a deposit or checkout folio. A credit bill is a document similar to an invoice, but instead of a debt, it net result is a credit. (See Credit Bill for details.)

Credit Cards. Display the credit cards used for payment throughout the guest's stay. You can access this option if you are using the credit card interface. When you select this option, OPERA offers you the following choices: Manual Approval, Authorization Rule, and Additional Authorization. (See Credit Card Options for details.)

Deposit/Cxl. Open the Deposit/Cancellation screen for this reservation. Use this screen to manage deposit requests and payments, and cancellation penalties. (See Deposit/Cancellation screen for details.)

Fixed Charges. Set up charges that are automatically posted to a guest's folio. These charges are posted at the time room and tax is posted to the folio. (See Fixed Charges for details.)

Folio History. A copy of each folio is stored for the guest at the time they check out, when an AR invoice is created, or when a passer by folio is generated. From the Folio History screen, folios can be reviewed on-screen and printed in any of the available folio styles. (See Folio History for details.)

Future. List future reservations for the guest. See Future Reservations for details.

IFC Account. Select to quickly access and manage a stored value accounts for an existing guest. (See IFC Account for details.)

Player Stats. When the OPP_GCA Comp Accounting add-on license is active, displays an up- to-the-minute overview of gaming information for the guest. (See Player Statistics for details.)

Package Options. Display the package options paid for by the guest for this stay and the postings made relative to the package. The user can see if an overage or shortage was created due to posting differences between the package and the transaction amount. This screen enables the cashier to determine if the guest exceeded the package allowance and can be used to decide if the guest pays the difference, or if the overage amount is to be routed to another account. Phone Details. Display all telephone transactions for the guest bill. (See Phone Details for details.)

Post Rate Code. Manually post room and tax. (See Post Rate Code for details.) When the user is granted the Cashiering > Post Rate Code Open Folio user permission, the Cashiering > Open Folio application parameter, Cashiering > Post Stay Charges application function, and Cashiering > Pre Stay Charges application function are active, the Post Rate Code button will remain active if the guest is Checked Out with an Open Folio. The Post Rate Code button remains active for the guest until the folio is closed and no more charges can be posted to it.

Posting History. View the selected account's transaction activity. This is a display-only screen. When you select this option, you will view all transactions posted to the account. (See Posting History for details.)

Privileges. Access the Privileges screen. From this screen you can set options including Authorize Direct Bill, No Post, Pre- and Post-stay Charging, and Video Checkout.

Pro Forma Folio. The Pro Forma Folio feature is available when the CASHIERING > PRO FORMA FOLIO application function is set to Y. The pro forma folio provides a summary of estimated charges. Any final bill might not match the estimates on the pro forma folio. (See Pro Forma Folio for details.)

Profile. Allow viewing of the guest's profile. Depending on your user rights, you may be able to make changes to the profile. (See Profile Search Screen for details.)

Reservation. View the guest's current reservation. Depending on your user rights, you can make changes to some reservation details, extend the reservation, or make a new reservation for the guest from this option. (See Reservation for details.)

Room Moves.  Display the Room Moves screen to set up a room move for this guest. This option is not available for reservations that are not yet checked in or for reservations that are checked out. (See Room Moves screen for details.)

Routing. Set up automatic routing so that charges for certain transactions will be transferred from one guest's bill to another guest's bill; or so that certain kinds of transactions will be automatically posted in a specific window of a guest's bill. (See Routing Transactions for details.)

Tickets. Displays the Tickets attached to the reservation. Tickets can then be added, viewed, printed, removed, refunded, or reprinted. (See Tickets for details.)

Void Folio. Only available when the Cashiering > Void Bill application parameter is set to Y. Used to void out any already issued folios have been posted to the guest. (See Void Folio for details.)

Quick Access Key

When the General > Enhanced Options Management application parameter is set to Y you have another way of quickly accessing options without selecting the Options button itself. You can press Ctrl+T to display the blue Option field.

To view all the available options in alphabetical order, scroll through the options list by selecting the Up and Down arrow keys. Press Enter to select the displayed option and open the corresponding option screen.

Or, instead of scrolling through the options list, type the first three letters of the desired option. The corresponding options screen appears. (For example, type c-a-n for Cancel.)

You can also enter the first letter of the desired option and all options beginning with that letter will appear in alphabetical order as you scroll. To scroll, use the arrow keys or repeatedly press the beginning letter key. For example, if you typed a-a-a-a you might scroll through the options of Accompanying, Add on, Agent/Company, Alerts. Press Enter to open the desired option.
