Create an expense

Create an expense to record money paid from a payment account for a business cost. Open Menu, select Banking, and then select Expenses.

Before you begin

Make sure that the payment account, payee, and expense categories that you need are available. The Payee options come from existing vendor, customer, person, and tax agency records. If you need a payee, open Menu and create either a vendor from Payables > Vendors > Create vendor, or a customer from Sales > Customers > Create customer. See Create a vendor or Create a customer.

Create the expense

  1. Open Menu, select Banking, and then select Expenses.
  2. On the Expenses card, select Create new.
  3. Select a Payment account.
  4. Select the required Payee. Enter the expense date, reference ID, and memo, as needed.
  5. In the Expense lines section, select Add line.
  6. Select a Category, enter a description and amount, and then select Apply.
  7. Repeat steps 5–6 for each expense line.
  8. In the Accounting section, review the posting period.
  9. Select one of the following options:
    • Submit to post the expense.
    • Save as draft to save the expense without posting it.

When the expense posts, QuickStart increases the expense accounts associated with the selected categories and decreases the payment account.
