Create a recurring expense

Create a recurring expense template to generate expenses automatically on a daily, weekly, monthly, or yearly schedule. Open Menu, select Banking, and then select Expenses.

Before you begin

Make sure that the payment account, payee, and expense categories that you need are available. The Payee options come from existing vendor, customer, person, and tax agency records. If you need a payee, open Menu and create either a vendor from Payables > Vendors > Create vendor, or a customer from Sales > Customers > Create customer. See Create a vendor or Create a customer.

Create the recurring expense

  1. Open Menu, select Banking, and then select Expenses.
  2. On the Recurring expenses card, select Create new.
  3. Enter a template name and description.
  4. Select the frequency and start date. Enter an end date if the schedule must stop on a specific date.
  5. Review Next date, which identifies when QuickStart will next generate an expense from the template.
  6. Select Create expenses as draft if generated expenses must be reviewed before they post. Leave the box clear if generated expenses must post when they are created.
  7. Select a Payment account.
  8. Select the required Payee, and enter the reference ID and memo as needed.
  9. In the Expense lines section, select Add line.
  10. Select a Category, enter a description and amount, and then select Apply.
  11. Repeat steps 9–10 for each expense line.
  12. Select Submit.

QuickStart schedules the template and generates an expense on each applicable date through the end date, if one is specified. The template itself does not post to the general ledger. A generated draft expense posts only after it is submitted.
