Create a segment

Create a segment to classify source records, transaction headers, or transaction lines for reporting and analysis. For example, you can create a custom segment named Department to categorize data by department, or one named Class for another classification. Open Menu > Administration > Customization.

Before you begin

You need the Administrator access profile or the Customization: create fields and segments permission set. Prepare a unique segment name, a segment ID, at least one value, and a list of records and transactions where the segment must appear.

Create a segment

  1. Open Menu > Administration > Customization.

  2. Select Segments, and then select Create segment.

  3. In Segment name, enter the name shown to users. To create a department classification, enter Department. Department is a custom segment name, not a separate segment type.

  4. Review the complete Segment ID generated from the segment name. If you change it, retain the f_ prefix and make the complete ID unique. The segment ID cannot be changed after the segment is created.

  5. Under Add segmentation values, enter a value and press Enter or select Add value. Repeat for each value that users can select. For a Department segment, add the department names users need to choose from.

  6. Select Next.

  7. Under Applies to, choose one application level and select where the segment is available:

    • Select either Transaction header to apply one value to an entire transaction, or Transaction line to allow values on individual item or expense lines. A segment cannot use both application levels.

    • Under All source records, select the applicable record types. Transaction header provides customer, vendor, and person records. Transaction line provides item and expense category records.

    • Under All transactions in workflows, select the individual transaction types or select a workflow group to apply the segment to all supported transactions in that group.

  8. Select Create.

The segment becomes available on the selected records and transactions.
