Swapping Shifts

If the Swap Shifts feature is enabled in your account, employees can swap shifts with one another. The following workflow shows the entire process of swapping shifts:

To initiate a shift swap, the employee will click on their scheduled shift in the SuitePeople Workforce Management phone app and click the Swap button. The employee will be prompted to enter a reason for needing a swap and will be notified that this shift is still theirs until the manager approves the swap.

After they enter a reason, they will click Request. Then employees that can work that job at that location will be notified in the SuitePeople Workforce Management phone app. If an employee wants to offer a shift to swap, they will click on the trade notification and click the bidirectional arrow swap icon to offer a shift in return.

The employee will click on the shifts they want to offer and will then click the Offer button. The original employee will receive notifications within the SuitePeople Workforce Management phone app when employees have made swap offers. They can click on the Trade icon to see their open trades and then click on the number tag to see the swap options.

After reviewing the options, they can choose which shift swap they would like to accept by clicking on that shift and clicking Accept.

Once the swap has been accepted, the manager will then be notified in the SuitePeople Workforce Management phone app. The manager can see the proposed swap with any associated cost difference. The manager can review the reason for the swap and then approve the swap by clicking Yes or deny the swap by clicking No.

If denied, the employee will be notified that their request is denied and can choose to pick up a different shift. The manager will receive a new notification request to approve or deny this swap request.
