Project 360 Dashboard Pages and Portlets

The Project 360 Dashboard SuiteApp lets project managers manage multiple projects in one place with readily accessible metrics, reports, and statuses. These project data related to tasks, resources, budget, and finance are organized on different focus pages.

A focus page provides a centered presentation of interrelated data contained in two or more portlets.

To access the dashboard, refer to the table listed on Accessing Project 360 Dashboard.

Project managers can select a project from the Project Portfolio page, then drill down to the following focus pages:

In the Project 360 Dashboard, portlets are organized on individual focus pages according to the type of datasets they contain. Focus pages contain common portlets that provide quick access to various records and pages. See Common Portlets in Project 360 Dashboard.

A portlet is a container that can be added to a user’s dashboard, which requires a setup to display contents from one or more features of NetSuite.

Make sure you complete the required setup to view the data on the portlets for every focus pages. See Setting Up Project 360 Dashboard Portlets.

Project 360 Dashboard Preference Page

The Project 360 Dashboard Preference page provides flexibility for Administrators to manage the type and amount of information to show on your account.

To set the preference, go to List> Relationship> Project 360 Dashboard Preference, then check or clear the boxes to select which focus pages appear on your dashboard.

Important:

The system requires only one Project 360 Dashboard Preference record for each account, and the record must not be duplicated, deleted, or set to inactive.

The Project 360 Dashboard Preference page contains the following check boxes:

  • Project Overview

  • Resource Planning

  • Budget and EAC

  • Billing and Revenue

  • Financial

Common Portlets in Project 360 Dashboard

The following portlets are shown on every focus page of the Project 360 Dashboard:

Project Information Portlet

The Project Information portlet shows the general information about the project, and sources the data from the project record and the customer record.

The following details are shown on the Project Information portlet:

  • Project ID – By default, this field shows the value entered in the Job ID field of the project record. Clicking the Project ID link takes you to the project record. If the Auto-Generated feature is enabled, this field shows the auto-generated ID of the project. For more information, see Setting Up Auto-Generated Numbering.

  • Project Name – This field shows the project name entered in the Project Name field. If the Auto-Generated feature is disabled, the project name also appears in the Project ID field.

  • Project Manager – This field shows the project manager assigned to the project. You can click the value in this field to see the corresponding employee record.

  • Client Name – This field shows the name of the client for the project, which comes from the Customer field of the project record.

  • Client Primary Contact – This field shows the name of the contact person for the client of the project. You can click the value in this field to see the corresponding contact record.

  • Due Date – This field shows the scheduled end date of the project, which comes from the Calculated End Date field on the project record.

Any changes you make on the primary details of the project records reflect on this portlet.

Reminders Portlet

The Reminders portlet contains predetermined links to notify project managers of the number of tasks and deliverable to prioritize for the project.

It is designed specifically for the project managers and their assigned projects with links that are similar on all focus pages.

This portlet is shown only when the access level is set to Assigned to me.

Note:

When you check the Show List When Only One Result box on the Set Preferences page, clicking reminder link takes you to the list page of each reminder except for Tasks Overdue link.

When unchecked, clicking the link with one reminder count takes you directly to a record of overdue vendor bill, purchase order, or project.

You can set the search preference by going to Home > Set Preferences Home > Set Preferences then click the Analytics subtab. On the Set Preferences page, check or clear the Show List When Only One Result box.

Color Criteria

Project Portfolio

  • Vendor Bills Overdue – This reminder shows the total number of Vendor Bills and Bill Credits that are overdue for one or more projects assigned to the project manager.

    The system considers a vendor bill as overdue if the current date is after the due date and the status is Pending Approval or Approved.

    Unlike vendor bills, bill credits do not have a status. A bill credit is overdue if the due date is past the current date.

    Note:

    An overdue vendor bill associated to multiple projects is only considered as one reminder.

  • Tasks Overdue – This reminder shows the total number of project tasks that are overdue for one or more projects.

    The system considers a project task as overdue if it meets the following criteria:

    • The status is In Progress, Pending, or Awarded after the task's end date passes.

    • The Percent Complete value is less than 100.

    The Tasks Overdue reminder does not include milestone tasks in the count.

  • Purchase Orders for Approval – This reminder shows the total number of purchase orders with Pending Approval status. Clicking the link takes you to the list of all purchase orders associated to all projects assigned to you.

  • Projects Overdue – The system considers a project as overdue if the status is In Progress, Awarded, or Pending after the calculated end date passes.

The following color criteria applies to Vendor Bills Overdue, Tasks Overdue, and Purchase Orders for Approval reminders:

  • Silver – 0

  • Green – 1 – 3

  • Amber– 4 – 10

  • Red – greater than 10

The following color criteria applies to Projects Overdue reminder:

  • Silver – 0

  • Green – 1

  • Amber– 2 – 3

  • Red – greater than 3

All Focus Pages

  • Vendor Bills Overdue – This reminder shows the total number of Vendor Bills and Bill Credits that are overdue for the specific project that you view.

    The system considers a vendor bill as overdue if the current date is after the due date and the status is Pending Approval or Approved.

  • Tasks Overdue – This reminder shows the total number of project tasks that are overdue only for a specific project. The system considers a project task as overdue if it meets the following criteria:

    The criteria for determining overdue project tasks is the same with the criteria used in the Tasks Overdue on the Project Portfolio page.

    The Tasks Overdue reminder does not include milestone tasks in the count.

  • Purchase Orders for Approval – This reminder shows the total number of purchase orders with Pending Approval status for a specific project. Clicking the link takes you to the list of all purchase orders associated to a project that you view.

All reminders on all focus pages follow this color criteria:

  • Silver – 0

  • Green – 1

  • Amber – 2 – 5

  • Red – greater than 5

Take Action Portlet

The Take Action portlet provides project managers with a quick access to records and pages associated to the project, so they can make the necessary adjustments.

The following table describes the links available on the portlet depending on the focus page you view.

  • Update Project Record – This link takes you to the project record where you can update the details of the project.

  • View Client Record – This link takes you to the customer record where you can update the details on the customer record.

    The link does not display when there is no customer record associated to the project.

Resource Planning

  • Update Project Schedule – This link takes you to the project record where you can edit the date for the tasks or milestones under the Schedule subtab.

  • Edit Resource Allocation – This link takes you to the Resource Allocations page where you can edit or create new resource allocations.

  • View Gantt Chart – This link takes you to a full screen view of the Gantt chart where you can view all the related tasks for the project.

Budget and EAC

  • Manage Project Budget – This link takes you to the project record where you can manage the existing budget on the Budget and Work Breakdown Structure subtabs.

  • Transfer Incorrect Time – This link takes you to the Update Time Entries page where you can update time entries or change how time is billed to the customers.

Billing and Revenue

  • Manage Project Billing – This link takes you to the project record where you can view or update the charges on the Charges subtab under the Financial subtab. For more information about project billing, see Project Billing.

    Note:

    The Charges subtab is shown when the project billing type is charged-based. To show the Charges subtab, you must have the Charge Rule permission. To view the entries under the Charges subtab, you must have the Charge permission.

  • Manage Revenue Recognition – This link takes you to the project record where you can update the value in the Rev Rec Forecast Rule field.

    The value in this field is used for creating a forecast revenue recognition plan for the project. See Revenue Recognition Rules.

Important:

You must enable the Advanced Revenue Management (Essentials) feature to view the data.

Financial

Manage Revenue Recognition – This link is similar with the Manage Revenue Recognition link available on the Billing and Revenue page.
