Setting Up FAM Diagnostics

To set up and use FAM Diagnostics

  1. Add the FAM Diagnostics portlet to your dashboard:

    1. From the NetSuite Home page, go to Personalize > SuiteApps.

    2. Click FAM Diagnostics or drag and drop it to your dashboard.

  2. Click Run Scan to display information about the processes that require action from you. The recommended action will be displayed as a link.

    Precompute Depreciation Values

    Checks for assets that does not have depreciation schedule values.

    Clicking Run Precompute will trigger the script to generate the depreciation schedule values for affected assets.

    Reset Asset Values

    Checks for assets that requires a reset.

    Clicking Run Asset Reset will trigger the script to delete the stale depreciation histories.

    Check Missing Summaries

    Checks for depreciation histories that does not have a BG Summary Record.

    Clicking Check Missing Summaries will trigger the script to create a BG Summary Record for the orphaned depreciation histories.

    Check Missing Asset Values Record

    Checks for assets without an Asset Values record.

    Clicking Review Assets opens the Review Assistant where you can view these assets and choose to either update or delete them. For more information, see Adding or Deleting Asset Values Using the Review Assistant.

    Check Missing Lease Contracts

    Checks for lease payment records without contracts.

    Clicking Create Lease Contracts triggers the script that attaches a contract to lease payment records with missing contracts.

    Check DHRs without Associated Records

    Checks for DHRs that have no associated records.

    Clicking Resolve DHRs triggers the script to delete the orphaned DHRs. If the DHRs are associated to a journal or summary record, the link opens the Review Assistant. You can review the list of DHRs and choose to modify the list before deleting the DHRs. For more information, see

    The date format on the FAM Diagnostics portlet follows the settings defined in the User Preferences page.

  3. Click the link under the Action column to start fixing the problem.

You must manually refresh the portlet to display updated information. You can click Run Scan again to manually check if there are problems with any of the processes. Doing so, however, will clear the Last Remedied, On, and Last Remedied By information. You can also schedule a scan for each process. For more information, see Scheduling a Diagnostic Scan.

Adding or Deleting Asset Values Using the Review Assistant

The FAM Diagnostics portlet can scan for assets without Asset Values record. The Review Assets link in the portlet opens the Review Assistant where you can download a CSV file with details about these assets. You can review the assets in the file and make modifications as necessary. When you upload the file back to the Review Assistant, you can choose to either delete or add asset values.

Before you upload the CSV file, review the following import guidelines:

  • If you are adding asset values, you must fill up all the columns in the CSV file. If you are deleting asset values, you only have to fill up the Internal ID column.

  • Ensure that the dates and numbers you enter in the CSV file follow the format specified in the General Preferences page. Check the system date and number format in Setup > Company > General Preferences.

  • If the CSV file contains multiple entries with the same asset internal ID, the system processes them as follows:

    • Entries that fail the validation process are skipped.

    • If only one entry passes the validation process, that entry is processed normally. Otherwise, the system displays a duplicate error.

  • If an asset in the CSV file already has an Asset Values record, the system does not process it.

  • Make sure that your CSV file does not exceed 10 MB.

To add or delete asset values:

  1. From the FAM Diagnostics portlet, click Review Assets.

  2. On the Review Assistant — Step 1 screen, do the following:

    1. Click Download CSV to save the list of assets with no asset values record.

    2. Click Next.

  3. On your computer, open the CSV file that you downloaded in the previous step, and enter values in the following columns:

    • Internal ID — If this field is blank, enter the internal ID of the asset.

      To display internal IDs, check the Show Internal IDs box under the General subtab at Home > Set Preferences.

    • Current Net Book Value — Enter the current net book value (NBV). The current NBV is calculated as the original cost less the accumulated depreciation and write-down amounts.

    • Last Depreciation Period — Enter the period number (within the lifetime of the asset) in which the asset was most recently depreciated.

    • Last Depreciation Amount — Enter the amount of the asset’s most recent depreciation.

    • Last Depreciation Date — Enter the date of the asset’s most recent depreciation.

    • Prior Year NBV — Enter the asset original cost if the transaction date is within the asset’s acquisition year. Otherwise, enter the end of the year net book value.

  4. On the Review Assistant — Step 2 screen, do the following:

    1. Click Choose File.

    2. Select the CSV file that you updated in the previous step.

    3. Click Next.

  5. On the Review Assistant — Step 3 screen, do the following:

    1. Select the action to apply to the assets in the CSV file:

      • Delete Assets — Select this option to delete the assets.

      • Add Asset Values — Select this option to add asset values.

    2. Click Finish.

      A popup window displays a confirmation message. Click OK to continue.

Deleting DHRs Using the Review Assistant

The FAM Diagnostics portlet can scan for depreciation history records without Asset or Asset Values record. The system does not automatically delete the DHR if it has an associated journal entry or BG summary record. The Resolve DHRs link in the portlet opens the Review Assistant where you can download a CSV file with details about these DHRs. You can review the DHRs in the file and make modifications before deleting the DHRs.

Note:

If the DHRs are not linked to a journal entry or BG summary record, clicking Resolve DHRs triggers the process to delete the DHRs.

Before you upload the CSV file, review the following import guidelines:

  • If you are modifying the downloaded CSV file, make sure that the DHR Internal ID field is present.

  • If the DHR should not be deleted, make sure that its Asset or Parent Asset Value fields are populated. Do not populate the Parent Asset Value field if the name of the DHR is dhr-default-name or is an internal ID.

  • If you are deleting the DHR:

    • Make sure that the DHR with journals are accounted for. Deleting these DHRs may affect your FAM reports and may cause inaccuracies when compared against non-FAM reports.

    • Review whether adjustments to the journals are required.

  • Ensure that the dates you enter in the CSV file follow the format specified in the General Preferences page. Check the system date format in Setup > Company > General Preferences.

  • Make sure that your CSV file does not exceed 10 MB.

To delete DHRs:

  1. From the FAM Diagnostics portlet, click Resolve DHRs.

  2. On the Review Assistant — Step 1 screen, do the following:

    1. Click Download CSV to save the list of DHRs with a journal entry or BG summary record.

    2. Click Next.

  3. On your computer, open the CSV file that you downloaded in the previous step.

  4. Review the list of DHRs, and remove any DHRs that should not be deleted. Read the import guidelines above for more information.

  5. On the Review Assistant — Step 2 screen, do the following:

    1. Click Choose File.

    2. Select the CSV file that you updated in the previous step.

    3. Click Finish.

      A popup window displays a notification message. Click OK to continue.
