Performing Inventory Count on Mobile Devices

The Smart Count SuiteApp lets you perform directed and spot inventory counts on your mobile device. For directed counts, you can count items from a task list. The SuiteApp generates a task list using a count configuration record. An item can be associated with multiple count configurations. If an item is included in the task list of a particular count configuration, the same item is not included in that task list generated for other count configurations.

The task list can display up to 1000 items that are in progress or due for count in a location. For more information, see Creating Count Configuration Records.

If you are an Administrator, you can view the task list for all the subsidiaries in your account.

You can perform inventory count for the following item types:

Note:

When counting matrix child items, enter items in the following format Parent Item Name : Child Item Name.

The SuiteApp supports the following for inventory counting:

To perform count using your mobile device, install the SCM Mobile SuiteApp. For information about the mobile device hardware and software requirements, see Hardware and Software Requirements

Performing Directed Count

The Smart Count SuiteApp generates a task list (list of items to count) based on a count configuration record.

To perform directed count using a mobile device:

  1. Log in to NetSuite using your mobile device.

  2. Based on the role you are using, do any of the following:

    • Go to Setup > Custom > Mobile – App.

    • Go to Mobile Emulator > Mobile Emulator > Mobile Screen.

  3. Tap Smart Count.

  4. Tap a location to perform inventory count. If you are using an Administrator role, you can view the task list for all subsidiaries in your account.

  5. Tap a zone. This step is applicable only if you are a WMS user and the item uses bin.

  6. Tap an aisle. This step is applicable only if you are a WMS user and the item uses bin.

  7. (Optional) In the Count Configuration field, select a count configuration to display the task list generated by it.

    By default, the field value is set to All.

  8. On the task list, under the Action column, tap Count beside the item that you want to count.

    The task list displays all items that are due for count on the current day.

  9. If the item uses bin, scan or enter the bin number in the Scan or Enter Bin field.

  10. In the Scan or Enter Item field, scan or enter the item's number or UPC code.

  11. In the Inventory Status field, select the item's status.

    This field is available only if the Inventory Status feature is enabled.

  12. In the UOM field, select the unit of measure for the item.

    Note:

    You can select the unit of measure only for lot numbered and inventory items.

  13. (Optional) You can perform the following steps when counting serial and lot items, but only in the following scenarios:

    • You did not set the Ignore Serial Number Until Variance and Ignore Lot Number Until Variance preferences.

    • You selected the Recount option to recount serial and lot items with quantity variance.

    1. If you are counting a serialized item, enter serial numbers in the Scan or Enter Serial Number field.

      To view the scanned serial numbers, click the View Serial Numbers link.

    2. If you are counting a lot item, do any of the following:

      • In the Scan or Enter Lot Number field, enter the lot number.

      • In the Available Lot Numbers field, select a lot number. For items without bins, the field displays all lot numbers associated with a location.

      To view the scanned lot numbers, click the View Lot Numbers link.

  14. Perform the following steps based on whether you want to enter the counted quantity manually or perform tally scanning:

    • Press Tab for manually entering the count quantity for lot numbered items only. For serial items, when you press Tab, the quantity automatically gets incremented.

      You can enter count quantity manually only if the Allow Manual Count Entry preference is set up. For more information, see Setting Up Smart Count Preferences.

    • Press Enter for tally scanning, which will automatically increment the quantity of scanned items by 1.

  15. In the Current Quantity field, enter the quantity.

    When you enter quantity, the Total Quantity Counted field displays the total count for an item from all previous instances. If necessary, you can edit the Total Quantity Counted field value. For more information, see the following examples.

  16. Repeat Step 8 – Step 12 to count items with different inventory statuses and units of measure.

  17. Tap Complete to complete count.

Tip:

To count items using bins, enable the Bin Management feature, and check the Use Bins box on an item record.

Note:

When selecting a zone or aisle for inventory counting, note the following points:

  • If you selected an incorrect zone or aisle, the SuiteApp displays an error message but allows you to complete an item count. However, the original zone and aisle values assigned to an item is displayed in its count record and the Count Review page. If there is any change in the values during count, the SuiteApp updates the values in the count record and the Count Review page.

  • If a zone is assigned to multiple bins, and aisle value is missing for some bins, you must select No Aisle to view bins without any aisle. You cannot see this option if bins associated with a zone have aisle values.

Current Quantity and Total Quantity Counted Field Values

You started to manually count an item ABC. At count start, the Current Quantity and Total Quantity Counted fields remain blank.

In the Current Quantity field, you entered quantity as 100 and pressed Enter. The Current Quantity field becomes empty and the Total Quantity Counted field value is 100.

You paused the count.

After resuming count, you entered quantity as 25 in the Current Quantity field. Now, the Total Quantity Counted field value is 125.

For tally scanning, both the Current Quantity and Total Quantity Counted field values get incremented by 1 at each scan of an item.

If you have scanned 10 items and paused the count, the quantity displayed in the Current Quantity and Total Quantity Counted fields is 10.

When you resume count, the Current Quantity field is empty and the Total Quantity Counted field value is 10.

If you scanned 5 more items, the Current Quantity field value becomes 5 and the Total Quantity Counted field value becomes 15 displaying the combined count quantities from both count instances.

After completing an item count, the count status is set to Done. The Counted Items page lists all items with status Done. Items that are in Approved state are removed from the task list.

To access the Counted Items page, tap Counted Items from the Smart Count menu on a mobile device.

You can do the following when counting items:

  • To pause count, tap Pause on the count page.

  • To resume count, tap Resume beside the item on the task list.

  • To complete count for all items that are in count or paused state, tap Complete All Counts from the Smart Count Menu icon. For items with on-hand quantity changes during count, the SuiteApp automatically initiates an appropriate action to the counter based on the preferences set by the Administrator.

  • To view the list of all counted items, tap Counted Items from the Smart Count Menu icon.

  • To rescan or update count for an item with Done status, tap Spot Count from the Smart Count menu on mobile app.

Performing Spot or Nondirected Count

The Smart Count SuiteApp enables spot counting for items.

To perform spot or nondirected count using a mobile device:

  1. Log in to NetSuite using your mobile device.

  2. Based on the role you are using, do any of the following:

    • Go to Setup > Custom > Mobile – App.

    • Go to Mobile Emulator > Mobile Emulator > Mobile Screen.

  3. Tap Smart Count.

  4. Tap a location to perform inventory count.

  5. Tap a zone. This step is applicable only if you are a WMS user and the item uses bin.

  6. Tap an aisle. This step is applicable only if you are a WMS user and the item uses bin.

  7. To perform spot count, tap Spot Count from the Smart Count menu.

  8. If the item uses bin, scan or enter the bin number in the Scan or Enter Bin field.

  9. In the Scan or Enter Item field, scan or enter the item number or UPC code of the item.

  10. In the Inventory Status field, select the item's status.

    This field is available only if the Inventory Status feature is enabled.

  11. In the UOM field, select the unit of measure for the item.

    Note:

    You can select the unit of measure only for lot numbered and inventory items.

  12. (Optional) You need to perform the following steps when counting serial and lot items only in the following scenarios:

    • You did not set the Ignore Serial Number Until Variance and Ignore Lot Number Until Variance preferences.

    • You selected the Recount option for serial and lot items with quantity variance.

    1. If you are counting a serialized item, enter serial numbers in the Scan or Enter Serial Number field.

      To view the scanned serial numbers, click the View Serial Numbers link.

    2. If you are counting a lot item, do any of the following:

  13. Perform the following steps based on whether you want to enter the counted quantity manually or perform tally scanning:

  16. Tap Complete to complete count.

Completing Count for All Items

The Smart Count SuiteApp lets you complete count for all items that are in paused state or due for count. To complete count for all items, perform the following steps.

To complete all counts:

  1. Log in to NetSuite using your mobile device.

  2. Based on the role you are using, do any of the following:

    • Go to Setup > Custom > Mobile – App.

    • Go to Mobile Emulator > Mobile Emulator > Mobile Screen.

  3. Tap Smart Count.

  4. Tap a location.

  5. From the Smart Count Menu icon, tap Complete All Counts.

  6. (Optional) In the Count Configuration field, select a value to display items based on the selected count configuration.

  7. To complete count for all items, check the box beside the Bin column on the table header.

  8. Tap Complete All Counts.

Viewing Counted Items

The Counted Items page displays only items with the status Done for the current day. This includes item counts that are pending approval or have tolerance errors.

To view all counted items:

  1. Log in to NetSuite using your mobile device.

  2. Based on the role you are using, do any of the following:

    • Go to Setup > Custom > Mobile – App.

    • Go to Mobile Emulator > Mobile Emulator > Mobile Screen.

  3. Tap Smart Count.

  4. Tap a location.

  5. From the Smart Count Menu icon, tap Counted Items.

  6. (Optional) To view the counted items associated with a count configuration, select a value in the Count Configuration field.

Scanning GS1 Bar Codes for Inventory Count

The Smart Count SuiteApp lets you scan GS1 bar codes when counting inventory items, serialized, and lot numbered inventory items.

Prerequisites of Using the GS1 Bar Code Feature

To use the GS1 bar code feature that the Smart Count SuiteApp provides, perform the following steps in the order specified.

  1. Install the NetSuite WMS SuiteApps. For more information, see NetSuite WMS Setup. This feature is unavailable for accounts where WMS SuiteApps are not installed.

  2. Set the Enable Advanced Bar Code Scanning preference on the Smart Count Preferences page. To set this preference, go to Setup > Smart Count Preferences.

  3. Create item alias records to map the GTIN-14 of a GS1 bar code to an item. Item alias records provide an alternate name for an item that is used in the warehouse. For more information, see Creating Item Aliases.

  4. Set up item bar codes for scanning. For information about setup, see Bar Code Setup for NetSuite WMS.

  5. Set up custom application identifiers for GS1 bar code scanning. For information about setup, see Setting Up Custom Application Identifiers for GS1 Bar Code Scanning.

After completing the prerequisites, perform the following steps to count inventories by scanning GS1 bar codes.

To scan GS1 bar codes for inventory counting:

  1. Log in to NetSuite using your mobile device.

  2. Based on the role you are using, do any of the following:

    • Go to Setup > Custom > Mobile – App.

    • Go to Mobile Emulator > Mobile Emulator > Mobile Screen.

  3. Tap Smart Count.

  4. Tap a location to perform inventory count.

  5. Tap a zone. This step is applicable only if you are a WMS user and the item uses bin.

  6. Tap an aisle. This step is applicable only if you are a WMS user and the item uses bin.

  7. In the Count Configuration field, select a count configuration to display items due for count based on the selected value.

  8. Based on the type of count you are performing, do one of the following:

    1. For directed count, tap Count beside an item on the task list.

    2. For spot count, tap Spot Count from the Smart Count menu.

  9. If the item uses bin, scan or enter the bin number in the Scan or Enter Bin field.

  10. In the Scan or Enter Item field, scan or enter the item's GTIN.

    The SuiteApp derives item details such as item name, number, UOM, quantity, lot number, serial number from the Item Alias page. If a GTIN is used for multiple items, the SuiteApp prompts you to select the item that you want to count.

    Note:

    For serial items, select the base unit on the Alias Unit field on the Item Alias page.

  11. In the Inventory Status field, select the item's status. This field is available only if the Inventory Status feature is enabled.

  12. In the UOM field, select the unit of measure for the item.

    Note:

    You can select unit of measure only for lot numbered and inventory items.

  13. In the Current Quantity field, enter the quantity.

    When you enter a quantity, the Total Quantity Counted field displays the total count for this item from all previous instances. If necessary, you can edit the Total Quantity Counted field value. For more information, see the preceding examples.

  14. Tap Complete to complete count.
