Saving Messages from Contacts

You can record any correspondence you have with those you do business with. For example, if you receive email from a customer contact, you can store the message on the customer's record. When you save messages to the contact record, others with access to your account can read correspondence to better understand and serve the customer.

Tip:

If you use the Capture Email Replies feature, NetSuite automatically does the following for customer replies to email messages sent from NetSuite:

  • Sends them to the email address you log in with

  • Saves them on the contact and customer records

NetSuite also saves any additional messages that become a part of that email thread on the corresponding records in your account. NetSuite includes a notice in any messages saved to your account so that you are aware of what is being documented. For more information, see Sending Email from NetSuite

To save messages received from contacts:

  1. View the record for the company or individual who sent the message.

  2. Click the Communication subtab, and then on the Messages subtab, click Attach.

  3. In the From Email Address field, enter the email address the sender used for the message.

  4. In the Cc and Bcc field, enter the names of other people copied on this message.

  5. Enter the date and time this message was received.

  6. Click the Message subtab.

  7. Enter the subject of this message.

  8. In the Message field, enter or paste the message from this contact.

  9. Check the Emailed box if this message was received by email.

  10. Click the Attachments subtab.

  11. Check the Zip Attachments box to compress the attachments sent with this message.

  12. In the Attach File column, select New to upload any attachments sent with this message to your file cabinet.

  13. Click Add after selecting each attachment.

  14. Click Save.

This message is saved on the Messages subtab of the following records:

You can click View History to view all messages sent to and from contacts.
