Cash Processing Agent for receipt processing and cash application

The Cash Processing Agent improves cash processing efficiency by helping users investigate receipts, identify customers and transactions, and complete cash application activities through a guided conversational experience.

In earlier releases, automated processing of bank statements and remittance advices introduced receipt creation, reference enrichment, and matching capabilities. The Cash Processing Agent subsequently brought receipt creation exceptions, unidentified and unapplied receipt investigation, invoice research, and user-confirmed receipt application into a unified conversational experience.

In this release, the Cash Processing Agent builds on those capabilities with additional cash application and receipt resolution actions. Users can apply receipts in full or for a specified amount, apply a receipt across multiple selected transactions, assign a customer to an unidentified receipt, and refund eligible unapplied receipt amounts.

Customer identification during receipt creation from bank statements is also enhanced. Customer reference information derived from bank statement details can be associated with previously confirmed customer information, helping identify recurring customer payments more reliably and reducing the effort required to resolve unidentified receipts.

Cash application

The Cash application experience is expanded to support additional receipt application scenarios directly through the conversational experience.

Full and partial receipt application

Users can apply the available receipt amount or specify the amount to apply to an eligible transaction.

  • Identify the receipt and target transaction using natural language.
  • Review receipt and transaction information, including the available receipt balance and transaction amount remaining.
  • Apply the available receipt amount when the receipt is intended to settle the transaction.
  • Specify an application amount when only part of the receipt or transaction balance needs to be applied.
  • Review the proposed application before processing.
  • Confirm the application before the transaction is completed.
  • Receive the application result within the conversation.

This enables users to handle both full and partial payment scenarios without leaving the Cash Processing Agent.

Apply a receipt to multiple transactions

Users can apply one receipt to multiple selected transactions in a single guided flow.

  • Identify the receipt and the transactions to which the payment should be applied.
  • Review the selected transactions and available receipt balance before processing.
  • Verify the transactions included in the application.
  • Confirm the selected transactions once before the applications are processed.
  • Apply the available receipt amount across the eligible selected transactions using standard Receivables application processing.

This capability helps users process customer payments that cover multiple outstanding transactions without initiating a separate application for each transaction.

Customer assignment for unidentified receipts

Users can assign a customer to an unidentified receipt from the Cash Processing Agent.

When a receipt is created without sufficient customer information, users can investigate the available receipt details and identify the appropriate customer before continuing with cash application.

  • Find unidentified receipts using receipt details such as receipt number, amount, date, or available payment references.
  • Review available receipt and customer information.
  • Select the appropriate customer and customer account.
  • Review the proposed customer assignment before making the update.
  • Confirm the customer assignment from the conversation.
  • Continue with cash application after the receipt becomes available for application.

Assigning a customer changes the receipt from unidentified to unapplied and makes it available for subsequent cash application. Customer assignment itself doesn't apply the receipt to a transaction.

Receipt refunds

Users can initiate a refund for an eligible unapplied receipt amount from the Cash Processing Agent.

  • Identify the receipt and specify the amount to refund.
  • Select the applicable refund payment method.
  • Review the receipt, refund amount, and payment method before processing.
  • Confirm the refund before it is submitted.
  • Receive the processing result within the conversation.

Refund processing continues to use the existing Receivables refund process and applicable refund eligibility validations.

This capability helps users resolve customer overpayments and other eligible unapplied balances without navigating away from the Cash Processing Agent to initiate the refund.
 

Enhanced customer identification from bank statements

Customer identification during receipt creation from bank statements is enhanced to make better use of customer references contained in bank statement information.

Bank statement references and additional information don't always contain the customer name in the same form in which it is maintained in Receivables. Reference formats can also vary between banks. The enhanced identification process uses customer-identifying reference information from bank statement data together with customer information established through previous receipt processing.

  • Extract customer-identifying references from available bank statement information.
  • Evaluate the extracted references in the context of the bank account and previously established customer-reference information.
  • Identify the customer when available reference information provides a sufficiently strong match.
  • Retain transactions for further review when the available information doesn't provide sufficient confidence for customer identification.
  • Use customer information confirmed through previous receipt processing to improve identification of similar customer payments in the future.

Confirmed receipt outcomes can establish additional reference information for subsequent customer identification. When similar references occur on future bank statement lines, the system can use these established mappings to identify the corresponding customer more efficiently.

This enhancement helps reduce repeated customer-identification effort for recurring payments and provides better customer context for downstream cash application.

  • Improves cash application efficiency for complex payment scenarios by supporting full and partial receipt application, applying a single receipt across multiple transactions, and assigning customers to unidentified receipts before continuing with application, all within the conversational experience.
  • Reduces repeated customer identification for recurring payments by using bank reference information from previously confirmed receipts to recognize the customer.
  • Simplifies customer overpayment resolution by enabling eligible receipt refunds to be initiated and confirmed within the conversational experience.

Steps to enable and configure

  • The Cash Processing Agent remains enabled by default, and no additional setup is required for these enhancements. 
  • Refer to the Cash Processing Agent What’s New for 26C for the applicable setup and configuration steps.

Tips and considerations

  • The amount that can be applied is determined by the available receipt balance, transaction amount remaining, and existing Receivables application validations.
  • For partial applications, review the specified application amount and the resulting receipt and transaction balances before confirmation.
  • When applying a receipt to multiple transactions, review all selected transactions before confirming the application.
  • Assigning a customer to an unidentified receipt doesn't automatically apply the receipt. After customer assignment, continue with the appropriate cash application action.
  • Receipt refunds are available only when the receipt and unapplied amount meet the existing requirements for refund processing.
  • Customer identification depends on the customer-identifying information available in the bank statement references. Transactions with insufficient or ambiguous information can continue to require user review.
  • Customer-reference information becomes more useful as confirmed receipt processing establishes additional reference patterns for recurring payments.
  • Remittance advice ingestion supports documents with up to 2,000 reference lines.

Access requirements

User role configuration

Access to the Cash Processing Agent is controlled through Oracle Receivables assistant duty roles. Take the following steps to provide users access to the Cash Processing Agent.

Determine which configuration applies

Use the following table to determine the configuration required for your users.

If your Receivables users have Configuration
Custom job roles Add the required Cash Processing Agent assistant roles to the existing custom job role.
Oracle-provided predefined job roles The required Cash Processing Agent assistant roles are already included. If users require Insights access, create a separate custom job role for Insights.

The Cash Processing Agent uses the following assistant roles:

Configure the applicable job role

Complete the steps that apply to your job role type.

For custom job roles

  1. Search for the applicable job role.
  2. Click Edit Role.
  3. Enable the Enable Permission Group option.
  4. Save the changes.
  5. Navigate to Role Hierarchy > Roles and Privileges.
  6. Add these required assistant roles:
  • Cash Receipt Generation Assistant
  • Cash Application Assistant
  • Cash Receipts Inquiry Assistant

        7. Ensure that the required users are assigned to the custom job role and that appropriate data security access is granted.

For Oracle-provided predefined job roles

The required Cash Processing Agent assistant roles are already included in the predefined Receivables job roles listed previously. 
If users require access to Insights, create a custom job role:

  1. Create a custom job role and specify:
  • Role Name: Specify an appropriate name, for example, Cash Processing Insights.
  • Role Code: Specify an appropriate code, for example, CASH_PROCESSING_INSIGHTS.
  • Role Category: Financials – Job Roles.
  1. Navigate to Role Hierarchy > Roles and Permission Groups.
  2. Add Cash Processing Agent Insights Role (ORA_AR_CASH_PROCESSING_INSIGHTS_DUTY).
  3. Add the required users to the custom job role.
  4. Save and Submit the custom job role.
  5. Ensure that appropriate user and data security access is granted.

Synchronize user and role security data

After user role assignments/changes in Fusion, there can be a synchronization/cache delay. Run the following steps to ensure the role updates.

  1. Run “Import User and Role Application Security Data
  • Go to Tools > Scheduled Processes
  • Click Schedule New Process
  • Search for Import User and Role Application Security Data
  • Select it and click OK
  • Click Submit
  • Wait until the process Succeeds before continuing.
  1. Run “Retrieve Latest LDAP Changes
  • Again select Schedule New Process
  • Search for Retrieve Latest LDAP Changes
  • Click Submit
  • Wait until it Succeeds.
