Withdrawal Rules for Self-paced Learning

You have control over how learners and managers can withdraw from self-paced learning. This feature lets you set specific withdrawal rules for both learners and managers, identifying whether it's allowed, requires approval, or not allowed at all.

Learners and managers will see only the Withdraw action when they're eligible, for example, learners and managers can't withdraw from required assignments. If a withdrawal request needs approval, the app automatically sends out notifications and routes them through the appropriate workflow.

You'll find the withdrawal options in the Enrollment section, on the Rules tab of a self-paced learning.

  • Allowed (default): Learners or managers can withdraw from a learning item immediately, with no additional approvals required.

  • Approval Required: Withdrawal requests are routed for approval. The withdrawal is processed only after the designated approver reviews and approves the request.

  • Not Allowed: Withdrawal from the learning isn't permitted; learners and managers won't see the Withdraw action.

This enhancement lets learning administrators configure withdrawal approval rules for each self-paced learning, as opposed to the current global system setting that applies to all courses and offerings.

Steps to Enable

You need to enable Self-paced learning to use this feature.

Tips And Considerations

On the Approval Rules tab, search for Learn to find the Learning Assignment Withdrawal approval rule.

    • If you've changed this approval rule, you won't get the updates that let you configure withdrawal approval for existing courses and offerings independent of the new self-paced learning. You need to add these logical conditions to appropriately route approvals:
      • For your current approval rule (courses and offerings), add this condition: Learning Item.Learning Item Type Code != "ORA_ELEARNING"
      • For the new self-paced learning rule, add this condition: Learning Item.Learning Item Type Code == "ORA_ELEARNING"
        • This rule applies only if the self-paced learning has its Withdrawal rule set to Approval Required.
    • If you haven't changed this approval rule, it automatically updated to have two routing options: one for existing Courses and Offerings and one for self-paced learning.
      •  The updated approval rule keeps the same defaults, where courses and offerings won't require withdrawal approval. And self-paced learning sends an approval notification only when the learning has its Withdrawal rule set to Approval Required.

Note: Because the routing rule is now dependent on the learning item type, we recommend that you don't select the Bypass Approval option on the Approval Rule. If you bypass approvals, withdrawal approvals are never sent for courses and offerings and self-paced learning, regardless of what the Withdrawal rule is set to for self-paced learning.

Here's how to configure course and offering withdrawals so that approval isn't required. Self-paced learning uses Management Hierarchy for approval if the learning has the Withdrawal rule set to Approval Required.
