Change capacity on a schedule

As a location administrator, you can change the capacity of a schedule for a particular day at any time. For example, you may need to remove a third shift if a location no longer includes enough staff to cover that time.

To change the capacity of a schedule:
  1. Select Locations/Scheduling from the Home page.

    Note:

    If you cannot see the Locations/Scheduling option on the Home page, contact your Oracle Customer Success manager to activate it.
  2. If your organization includes more than one location for appointments, select the location from the drop-down menu of the location icon. The icon is located next to your account name in the product banner. It looks like the location icon you see on maps: Shows a location icon
  3. Select the Schedules tab.
  4. Select Manage Schedules.
  5. In the Appointment Type field at the top of the page, select the type of appointment you want to manage from the drop-down list (if not done already).
  6. Select Change Capacity to open the Change Capacity dialog box.
  7. In the Date field, select the calendar icon to select the date when you want to reduce the capacity.
  8. Select the shift where you want to reduce the capacity. You can then enter the reduced number in the New Slots field. You see an Impact Info list of options in case your changes affect confirmed appointments.
  9. Do one of the following, depending on how you want to impact the schedule:
    • Keep all appointments: You do not want to cancel any of the appointments already scheduled for that day.
    • Reschedule when possible, keep otherwise: Ensure that current participants do not lose their appointment if they cannot reschedule it to another day.
    • Reschedule when possible, cancel otherwise: Ensure that participants get contacted to reschedule them to another day, but cancel the appointments for the select date after trying to reschedule.
    • Cancel all appointments: Cancels all appointments on that day

    Note:

    If you select an option to reschedule an appointment, Oracle COVID-19 Patient Monitoring System automatically reschedules the appointment for the participant automatically. The participant gets notified and can call to reschedule if needed.
  10. Select Change Capacity. You see a success message at the top of the screen.
  11. Review the schedule on the calendar and check the date you selected. You see details on the type of appointment and times that you reduced the schedule.
