Glossary
Here is where you'll find terms with their accompanying definitions. Click on the term to see its definition.
To find a particular word or phrase, click Ctrl + F to search the page. If the word or phrase is not found, try searching for a category (i.e., to find Minimum Length of Stay, search for Restriction or Restriction Types).
A
An accompanying guest is one who occupies a room with another guest, but who does not require a separate folio. If the guests require separate folios while occupying the same room, use the Shares option instead (select the Shares jump from the Reservation screen).
Identifying accompanying guests on the Accompanying Profiles page of the Connected Profiles jump ensures that you can locate that guest if, for example, he or she receives a courier service delivery, a fax, or a phone call to the property's general phone number. Although they are not the reservation holder, a search for an accompanying guest returns the reservation record with the accompanying indicator and highlighted text.

Check-In Train (Step-by-Step Linear Process)
The Train in OPERA Cloud is a basic step-by-step process that identifies the steps (or "stops") that need information or action in order to complete the process.
When that step of the process has the necessary information, you can advance to the next step in the sequence.
The initial step that you are taken to depends on the information or action that has already been satisfied in the process; i.e., if information or action has already been completed for steps 1 and 2 when the train is opened, you will automatically be advanced to the third step in the process.
EXAMPLE
When using the Check-In train for a reservation, and the payment method has already been assigned, you will automatically be advanced to the Assign Room step when the Check-In train is opened:
You can jump to any step on the train, backward or forward; however, if you advance to a subsequent step without satisfying the previous, a warning message appears to inform you of missing information:
Related items
Available when right-clicking on a date that has one or more restrictions set for it or by clicking on a date and selecting from the Actions menu. Choose this option to clear any restrictions that exist for the selected date.
Rate categories/rate codes or room classes/room types are unavailable for a certain date or range of dates and will not be offered at the time of reservation.
No reservation can be made for arrival on the selected date.
No reservations can be made having a departure date falling on this date or in this date range.
Use the Custom option to create multiple copies of a block that will be returning at varied or specific arrival dates regardless of the weekday (such as the 15th of every month, on the last day of the Quarter, or on each of our birthdays this year).

Days of the Week
All check boxes are preselected by default. Unselect the check mark for the days you do not want to include.
For example, if a date range is for the entire month, but you do not want the restriction to apply on Saturdays and Sundays, you would remove the check marks from the Saturday and Sunday check boxes.
Available when right clicking on a restriction or by clicking on a restriction and selecting from the Actions menu. Choose this option to delete a restriction. You will be prompted for the date(s) for which you wish to delete the restriction.

Vacant = Guest is not checked in, or has already checked out.
Occupied = Guest is checked in, or has not yet checked out.

Hold All is used in Manage Commissions to stop the processing of commissions for all Travel Agents / Source. The Hold All condition is removed when you select Release All.
Hold is used in Manage Commissions to stop the processing of commissions for a selected Travel Agent or Source. Unlike Hold All, which applies to all Travel Agent or Source commissions, a Hold applies only to a specific Travel Agent or Source.

An IATA number is a number issued by the International Association of Travel Agents. The IATA number is used in identifying Travel Agent profiles.

This option is often used instead of Minimum Length of Stay when various lengths of stay are open or closed for arrivals on the currently selected date.
Single-select: Only one value from the drop down list of values (LOV) can be selected.
Multi-select: More than one value from the drop down list of values (LOV) can be selected. To select more than one value, press and hold the Control key (Ctrl) on the keyboard while selecting the values.

New reservations are subject to a maximum number of days booking window and cannot be booked to arrive on the date where a Maximum Advance Booking restriction is in place until the number of days before the arrival date falls below the number of days on the Maximum Advance Booking restriction. For example, if you have a Maximum Advance Booking restriction set on Friday for 4 nights, a guest trying to book a new reservation for arrival Friday on Sunday would not be able to book the reservation, as the number of advance booking days exceeds the maximum number of advance days of 4 days on the Maximum Advance Booking restriction. A guest trying to book a reservation arriving Saturday on Friday would be able to the reservation.
New reservations arriving on the date where a Maximum Length of Stay restriction is in place cannot exceed the maximum number of days on the Maximum Length of Stay restriction in order to be booked. For example, if you have a Maximum Length of Stay restriction on Saturday for 4 nights, a guest trying to book a new reservation for Saturday through Friday would not be able to book a reservation as it exceeds the maximum number of days on the maximum length of stay restriction. If the new reservation were arriving on Saturday for 3 nights, then the reservation would be able to be booked. A guest trying to book a reservation for Sunday through Friday would also be able to book the reservation, as it does not arrive on Saturday and is not subject to the Maximum Length of Stay restriction.
If any part of a new reservation touches the Maximum Stay Through restriction date(s), it cannot exceed the maximum number of days on the stay restriction in order to be booked. For example, if a Maximum Stay Through restriction is set up on Saturday for 2 nights, a guest trying to book a reservation for Monday through Saturday would not be able to book a reservation, as it exceeds the maximum number of days on the Maximum Stay Through restriction. If a guest wanted to stay Friday and Saturday only, then he would be able to book the reservation. A guest trying to book a reservation for Saturday and Sunday would also be able to make a reservation.

A Negative Sell Limit subtracts the number of rooms available to sell from the number of actual physical rooms. Set a negative sell limit when you want to exclude a certain room type or room class from being sold.

To set a negative sell limit, enter a negative number of rooms (flat) or a negative number for percentage (of the actual physical number of rooms) in the Set Sell Limits screen or directly edit the field in the Manage Sell Limits screen.

By default, all rate categories/rate codes and room classes/room types are open. You would only set an Open restriction in order to reverse or remove an existing Closed restriction. For example, a property has closed the Discount Rate Category for July 4–6. Occupancy levels have dropped and now the property would like the Discount Rate Category to be available for sale. The property would set an Open restriction on Rate Category Discount in order to lift the closed restriction.
A reservation can be made for arrivals on the days defined for this rate category/rate code and room class/room type. By default all rates and rooms are open for arrival.
Out of Order status indicates that the room is not available to reserve for a guest, commonly due to maintenance, renovation, refurbishing, deep cleaning, or other reasons. Out of Order status rooms are deducted from the number of rooms available to sell.
Out of Order status can be set using Application > Inventory > Room Management.
Overbook (Positive Sell Limit)
A Positive Sell Limit sets the number of rooms available to sell to more than the number of actual physical rooms, which allows for overbooking. The intention is to compensate for cancellations and/or no-shows in order to reach 100% occupancy.

To set a positive sell limit, enter a number of rooms (flat) or a number for percentage (of the actual physical number of rooms) in the Set Sell Limits screen or directly edit the field in the Manage Sell Limits screen.

Use the Periodic option to create multiple copies of a block that will be returning at regular time intervals and arriving on the same day of the week (such as every Monday, or Wednesday through Friday every 4 weeks).

Room Discrepancies occur when the Housekeeping occupancy status of a room (HK Status) differs from that of the Front Office occupancy status of the room (FO Status). This difference in the occupancy status between Housekeeping and the Front Office is called a Room Discrepancy.
Discrepant room types:
• Sleep: HK Status = Occupied; FO Status = Vacant
• Skip: HK Status = Vacant; FO Status = Occupied
Manually enter the room type code or select the magnifying glass to open the Search and Select: Room Type screen where you choose the room type. Pseudo rooms (e.g., posting master PM room types) are not available in this list.

A strategy where properties allow more reservations than actual physical inventory available to compensate for cancellations, no-shows, and/or understays (reservations that check out earlier than expected) in order to reach 100% occupancy.
Enter a positive sell limit (in Application > Inventory > Manage Sell Limits) to set the percentage of total rooms or a flat number of rooms allowable for overbooking.
A Skip is a room that is reported "Vacant" by Housekeeping but has a reservation checked in to that room. For example, the Housekeeping room attendant may go into a room to clean it and find that the guest has already vacated the room. In this case, the housekeeping status of the room is "Vacant". However, if the guest did not officially check out, the Front Office status of the room still shows as "Occupied".
Skip: HK Status = Vacant; FO Status = Occupied
A Sleep is a room that is reported as "Occupied" by Housekeeping, but there is no reservation checked in to that room. For example, the Front Office status is "Vacant"(i.e no reservation for this room is checked in) but the Housekeeping attendant finds out that there are still suitcases in the room or other indications that the room is currently occupied.
Sleep: HK Status = Occupied; FO Status = Vacant

A zero sell limit resets the number of rooms available to sell to its actual physical number of rooms, and is used to cancel sell limits that have been applied.
