Enabling Monitored Fields for Import Workflows

Note:

The following workflows support the Monitored Fields feature:

  • Customers (Customers) Import Workflow

  • Employees (Employees) Import Workflow

  • Projects (Projects) Import Workflow

  • Tasks (Project Tasks) Import Workflow

You can speed up certain import workflows by ensuring that records are only included in the integration run if one or more integrated field values have changed.

With this feature enabled, the fields designated for integration are monitored for change. NetSuite records will be included in the integration run only if one of the monitored field values have changed.

To enable monitored fields for import workflows:

  1. Update the NetSuite OpenAir SRP Integration (Bundle ID 369637) bundle to the latest version.

    • Monitored fields for Project tasks were introduced in Version 2.04. Version 2.04 of the bundle:

      • Creates a new custom record for Monitored Fields, which holds the list of fields to be updated to OpenAir.

      • Creates a new hidden custom field for project task records, which is used to store a timestamp whenever any of the monitored field values are changed.

      • Deploys a script to monitor listed fields and update the timestamp whenever any of the monitored field values are changed.

    • Monitored fields for Customers were introduced in Version 2.08. Version 2.08 of the bundle:

      Creates a new hidden custom field for Customer records, which is used to store a timestamp whenever any of the monitored field values are changed.

    • Monitored fields for Employees and Projects were introduced in Version 3.0. Version 3.0 of the bundle:

      Creates a new hidden custom field for Employee and Project records, which is used to store a timestamp whenever any of the monitored field values are changed.

  2. If the real-time integration is installed and enabled on your account, update NetSuite OpenAir SRP Real-time Add-on (Bundle ID 369630) bundle to version 2.0 or later and deploy OpenAir: Send Record to OpenAir v2.0 script (SuiteScript 2 version).

  3. Run the main integration to update the monitored fields used for the real-time integration. You must include the workflows supporting the Monitored Fields feature in the integration run. See Running the Bulk Import and Export Integration on Demand.

    Important:

    After you make changes to the field mapping for a workflow supporting the Monitored Fields feature, run the main integration and include that workflow to update the monitored fields used for the real-time integration.
