Generating Electronic Invoices for Goods from Invoices (Brazilian Hub SuiteApp)

In Brazil, you must register the sale of goods from your company to customers on electronic invoices for goods (NF-e).

To create an invoice with NF-e generation:

  1. Go to Transactions > Sales > Create Invoices.

  2. Under Primary Information, in the Customer field, select the transaction’s customer.

  3. In the Status field, select the transaction’s status.

    You can only generate electronic invoices on invoice transactions with the Approved status.

  4. Under Classification, the Subsidiary field automatically displays the customer’s primary subsidiary. If the transaction relates to a different subsidiary, select the appropriate subsidiary.

  5. In the Location field, select the city where the subsidiary is located.

  6. Under Informações Fiscais, in the Tipo Documento field, select the type of e-document you want to generate on this invoice.

    To generate an electronic invoice for goods, select NF-e.

  7. If your own company generates the NF-e, in the Tipo Emitente field, select 0 – Próprio.

  8. In the Natureza da Operação field, select the transaction nature of the electronic invoice.

  9. In the Modelo field, select the electronic invoice template number.

    For NF-e generation, select 55.

  10. In the Série field, select the electronic invoice for goods series.

  11. To add items to the invoice, click the Items subtab.

  12. In the Item column, select the item you want to add to the transaction.

  13. In the Quantity column, enter the quantity for this item.

  14. In the Unit Price column, enter a price for single unit of this item.

  15. In the CFOP column, enter the Código Fiscal de Operações e de Prestações (CFOP) code of this item.

  16. Click Add.

    You can add more items to the transaction by repeating the preceding steps.

  17. (Optional) If you want to bill the customer for time spent on a project, click the Billable Time subtab, and check the line items for which you want to bill the customer.

  18. Click the E-Document subtab.

  19. In the E-Document Template field, select the electronic invoice for goods certification template.

    The certification template provided by the Brazilian Hub (BRHub) SuiteApp is usually named NF-e - Autorização.

  20. In the E-Document Sending Method field, select the method by which to send the e-document to the tax authority.

    The sending method provided by BRHub is usually named BRHub - Envio - Produto.

    Tip:

    You can monitor the generation and sending statuses or processing errors on the E-Document Audit Trail subtab.

  21. Click the Parcelas subtab.

  22. In the Condição de Pagamento field, select the invoice’s term of payment.

    This field only lists the terms of payment associated with the transaction’s subsidiary.

  23. (Optional) In the Banco Previsão field, select the bank account to which to post the payment of the invoice.

    You can change this account in the payment transaction.

  24. (Optional) Click the NF-e subtab.

    The information you need to provide on the NF-e subtab depends on your company’s business and the transaction’s purpose.

    1. If you are generating the electronic invoice in contingency mode, fill in the following fields:

      1. In the Data de Saída/Entrada field, select the items’ exit or entry date.

      2. In the Hora de Saída/Entrada field, select the items’ exit or entry time.

    2. Under Frete, fill in the information about the items’ shipping.

      1. In the Frete por Conta field, select the type of shipping used.

        By default, the 9 – Sem ocorrência de transporte (No shipping) option is populated.

      2. In the Código ANTT field, enter the shipping company’s Agência Nacional de Transportes Terrestres (ANTT) code.

      3. In the Placa do Veículo field, enter the license plate number of the vehicle assigned to ship the items.

      4. In the UF Placa field, select the federative unit of the vehicle’s license plate.

      5. If you need a second vehicle to ship the items, in the Placa do Veículo 2 field, enter the license plate number of the second vehicle.

      6. In the UF Placa 2, select the federative unit of the second vehicle’s license plate.

      7. If you need a third vehicle to ship the items, in the Placa do Veículo 3 field, enter the license plate number of the third vehicle.

      8. In the UF Placa 3, select the federative unit of the third vehicle’s license plate.

    3. Under Carga, fill in the information about the shipment.

      1. In the Quantidade field, enter the amount of items shipped.

      2. In the Espécie field, enter the type of unit measure, such as boxes or units.

      3. In the Marca field, enter the brand of the items.

      4. In the Numeração field, enter the serial number of the shipment.

      5. In the Peso Bruto field, enter the gross weight of the shipment.

      6. In the Peso Líquido, enter the net weight of the shipment.

    4. (Optional) Under Outros Valores, fill in additional expenses associated with the transaction.

      1. In the Valor do Seguro field, enter the amount covered by the goods’ insurance.

      2. In the Outras Despesas field, enter the amount of other expenses related to the goods.

      3. If you are selling fuel, in the Base de Cálculo ICMS Comb. field, enter the base value for the calculation of the Imposto sobre Circulação de Mercadorias e Serviços (ICMS) tax.

      4. If you are selling fuel, in the Valor ICMS Comb field, enter the amount of ICMS tax due.

    5. Under Informações, review the information about the subsidiary and the transaction relevant to the Secretaria da Fazenda (SEFAZ).

      1. The Informações adicionais field displays the content of the Informações Legais (Legal Information) field as set in the informação complementar da subsidiária record.

        You can edit the field with additional content relevant to the SEFAZ, if required. For more information, see Setting Up Tax Calculation for a Brazilian Subsidiary (Brazilian Hub SuiteApp).

      2. The Chave Acesso Referenciada field displays the access key of the referenced electronic invoice.

    6. If you are exporting the items, under Exportação, fill in the shipment information.

      1. In the UF de Embarque field, select the federative unit from which the shipment was shipped or sent across the border.

      2. In the Local de Embarque field, enter a description for the place of shipping.

      3. In the Local de Despacho field, enter a description for the place of dispatch.

  25. Click Save.

    The system saves the transaction and the Generate E-Document button appears at the top.

  26. Click Generate E-Document.

    If the e-document is successfully generated, the Send E-Document button appears at the top.

  27. Click Send E-Document.

    If the e-document is successfully sent, a confirmation message appears at the top of the page.

  28. (Optional) To view the electronic invoice generated, click the NF-e subtab.

    1. Under NF-e, review the electronic invoice information.

      1. In the Chave Acesso field, review the the electronic invoice access key.

      2. In the Protocolo de Autorização field, review the electronic invoice certification protocol number.

      3. In the Data Envio field, review the electronic invoice sending date.

      4. In the Status NFE field, review the return status.

      5. In the Mensagem Retorno field, review the electronic invoice return message details.

    2. To view a mirror image of the electronic invoice, under Links, click Visualizar NF-e.

    3. To download the NF-e XML file to your computer, click Visualizar XML NF-e.
