The Analytics Administrator Permission
The Analytics Administrator permission lets users delete, share, and edit workbooks and datasets in your account. Users with this permission can also track changes to workbooks and datasets through the audit trail and execution log record types. They can also set the audience for workbook and dataset templates.
The minimum access level for this permission is Full, and by default it's enabled for account administrators. You can assign this permission to a role under the Setup subtab of Permissions, or as a global permission on an employee record. Deleted workbooks and datasets can't be recovered, so this permission should only go to a small number of users. While Analytics Administrators can delete workbooks and datasets from other users, they can only view the fields and records allowed by their NetSuite permissions. Analytics Administrators don't automatically get access to SuiteAnalytics Workbook, they must be assigned a role with the SuiteAnalytics Workbook permission.
Editing Employee Workbooks and Datasets
Users with the Analytics Administrator permission can access every workbook and dataset in your account from the Analytics Home page.
-
To see workbooks or datasets created by others, pick Employee Workbooks or Employee Datasets in the dropdown of the right subtab.
-
To edit workbook or dataset properties without opening them, click the Edit icon next to the name, description, or owner. You can also share or delete them using the icons in the Actions column. Right now, there are no notifications when workbooks are deleted, shared, or assigned to new owners.
Auditing Workbooks and Datasets
As of 2020.1, the audit trail and execution log record types contain data only from release 2019.2 and earlier. You should not use these record types for auditing changes made to workbooks and datasets after 2020.1. If you want to query these record types using SuiteAnalytics Connect, use the NetSuite2.com data source and search for the usrauditlog
, usrdsauditlog
, and usrexecutionlong
record type IDs. For more information, see Connect Data Source.
To monitor Workbook use, Analytics Administrators have access to the audit trail and execution log record types. Each record type has a version for workbooks and datasets, which you can tell apart by the record ID. The dataset audit trail and execution log record types both have ‘Ds’ in the record ID. You can use these record types to make datasets that show what data is being accessed through Workbook and track changes to all saved workbooks and datasets in your account.

Defining the Audience for Workbook and Dataset Templates
Workbook offers many predefined workbook and dataset templates. For a detailed list including summaries of the content within each workbook or dataset, see Workbook and Dataset Templates.
To share these templates, Analytics Administrators can share most templates with specific users or roles right from the Analytics Home page. If the Share icon isn’t available, Analytics Administrators need to open the workbook or dataset, then save and share a copy. For more information about sharing workbooks and datasets, see Saving and Sharing Workbooks and Datasets.
