Editing a Reservation

The Reservation Presentation page provides you with access to all reservation details, detail links and actions.

With the Sell Message OPERA Control you will receive sell messages at the top of Look to Book, click X to close. Click Sell Messages to view these messages at a later time.

When the Room Rotation OPERA Control is active, owner reservation are identified by the owner reservation icon icon and owner referral reservation are identified by the referral reservation icon icon in the business card. 

When the Reservation Discounts OPERA Control is active and the reservation rate code is setup as eligible for discount you can discount the nightly rate by a fixed amount or percentage; discount applies to the nett accommodation portion of a package rate.

An Additional Reservations tab is displayed for any linked reservations. For more information, see Linked Reservations.

The Stay Details panel determines the reservation's arrival and departure dates, room type and rate details, and any block associated with the reservation. You can change stay details such as rate codes, room types, and length of stay. When the Reservation Color Definition OPERA Control is set to Reservation you can also select a color to display on various reservation pages.

When the Reservation Upgrade OPERA Control is active you may see a notification regarding upgrade offers; click the notification to view the offers. For more information, see Managing Reservation Upgrade Offers.

When the Enrollment OPERA Control is active, you might receive a notification regarding Enrollment; click link to enroll the guest. For more information, see Enrolling Guests in External Loyalty Programs.

 Increasing the nights of an in house reservation may require additional prepayment. For more information, see About Advanced Folio Payment (Prepayment).

Editing a Reservation

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to . . .,   Reservation or open the reservation by clicking the confirmation number.

    Note:

    Details panels selected in the default or previously selected Presentation Panel tab are displayed. For more information, see Presentation Pages.
  4. The Guest business card is at the top of the page; click the guest name link to open profile presentation to update the linked profile.

  5. Click I Want To buttonto display various actions for this reservation.

  6. Reservation Overview Panel:

    1. When the Reservation Upgrade OPERA Control is active you may see a notification regarding upgrade offers; click the Room Upgrade Available for this Reservation link to view the offers. For more information, see Managing Reservation Upgrade Offers.

    2. When the Enroll OPERA Control is active you may see a notification regarding Enrollment; click link to enroll the guest. For more information, see Enrolling Guests in External Loyalty Programs.

      Note:

      The fields displayed are based on your chain or property customization and the OPERA Controls active
    3. Click Edit to update the fields available in the Overview panel.

    4. Update the details.

      Note:

      With the Fixed Rates OPERA Control active you can update (override) the rate amount and select the Fixed Rate checkbox to fix the rate to the specified amount.
    5. Click the Membership Info link next to the member number to view membership  (Award point and Tier) details (Enabled when the Loyalty Membership Configuration OPERA Control is active or integration with the OPERA Customer Loyalty Cloud Service is active).

    6. Click Save.

      Note:

      All reservation detail links are available to view and update related reservation detail. See the Reservation Detail Links table below.

  7. Stay Details

    1. Select Stay Details.

      When the Display Reservation Awards OPERA Control is active the following fields are available to add using Page Composer.
      • Award Code: Displays award details provided by your loyalty solution to track reservation awards. Update as needed.

      • Award Number: Displays award details provided by your loyalty solution to track reservation awards. Update as needed.

      • Eligibility Code: Displays earning eligibility details provided by your loyalty solution to track reservation awards. Update as needed.

    2. Select the Details tab then click Edit.

      1. Arrival: Enter or select the arrival date.

      2. Nights: Enter the number of nights; the departure date is updated.

      3. Departure: Enter or select the departure date.

      4. Rooms: Enter the number of rooms required; a multi-room reservation must be split into separate reservations , for room allocation, prior to check in. For more information, see Managing Linked Reservations.

        Note:

        If the number of rooms entered equals or exceeds the Block Creation Prompt Threshold Rooms OPERA Control you are prompted to create a reservation or convert the reservation to a block.
      5. Adults: Enter the number of adults.

      6. Children: Enter the children.

        1. If the Child Rates By Defined Buckets OPERA Control is active, enter the number of children per age range.

      7. Room Type: Select a room type to book from the list. The selected room type is deducted from inventory.

      8. Room Type to Charge: Enter or select a room type to charge from the list. Use this field for complimentary upgrades, by selecting the room type payable if different to the room type booked. (Available when the Room Type to Charge OPERA Control is active).

      9. Room: Click Assign Room to launch Available Room Search. and assign a room to the reservation. Once assigned, the room and room status are displayed. Click Remove to un-assign the room from the reservation. For more information, see Removing the Assigned Room from a Reservation.

      10. Rate Code: Enter or select a rate code from the list.

      11. Rate Amount: Amount populates based on rate code and room type. Enter an amount to override the price. If you entered zero Adults, the single-person rate amount defined for the rate code selected is displayed.

        1. Fixed Rate: Select check box to fix the rate to the specified amount. (Available when the Fixed Rates OPERA Control is active). Check box is selected by default when the Always Use Fixed Rates OPERA Control is active.

        2. Click Refresh Rates to update the Rate Amount and Effective Rate Amount following any changes in the rate code configuration (such as additional package inclusions). The Effective Rate Amount considers any add to rate package items.

        3. Click Rate Info to view detailed rate information. For more information, see Viewing Reservation Rate Information

      12. Block Code: Click Assign Block to associate the reservation to a block. For more information, see section Assigning a Block to a Reservation.

      13. eCertificates: Select promotional e-certificates to redeem. For more information, see Redeeming Promotional e-Certificate.

      14. Market: Select a market code from the list

      15. Source: Select a source code from the list.

      16. Promotion: Select a promotion code from the list.

      17. Update Market Code with Rate Code Change: Select checkbox to update market code based on the selected rate code.

      18. Update Source Code with Rate Code Change: Select checkbox to update source code based on the selected rate code

      19. Discount: (Available when the Reservation Discounts OPERA Control is active and the selected rate code is setup as eligible for discount. For more information, see Configuring Rate Code Financial Details.

        1. Discount Amount: Enter a fixed amount discount to adjust the nightly rate.

        2. Discount Percentage: Enter a percentage discount to adjust the nightly rate.

        3. Discount Reason: Select a discount reason from the list.

          Note:

          When the Rate Code is updated the discount amount/ percentage and code (reason) are removed and the fields disabled if the rate code is not eligible for discount. Discount fields are also disabled when there are rate changes during the stay; a discount can be setup in Daily Details tab.
      20. Reservation Type: Select a reservation type from the list to determine if the reservation deducts a room from inventory. For more information, see Reservation Types.

      21. Origin: Select a booking origin from the list; used for statistical purposes. For more information, see Configuring Origin Codes.

      22. Arrival Time: Enter the expected arrival time.

      23. Departure Time: Enter the expected departure time.

      24. Print Rate: Select checkbox to output the price (rate amount) on stationery such as the registration card and confirmation. Defaults according to the financial setup of the selected Rate Code.

      25. Tax Type: Select a tax type from the list (Available when the Tax Type OPERA Control is active). For more information, see Configuring Tax Types .

      26. Display Color: Select a category from the list to assist in identifying guests with special needs or require special treatment. (Available when the Reservation Color Definition OPERA Control is set to Reservation). For more information, see Configuring Reservation Colors.

      27. Purpose of Stay: Enter or select the purpose of stay from the list. For more information, see Configuring Purpose of Stay  .

      28. Visa Number: Enter travel visa number.

      29. Visa Issue Date: Enter or select the issue date of the visa.

      30. Visa Expiry Date: Enter or select the expiry date of the visa.

      31. Custom Reference Number: Enter a custom reference number. You can search for reservation using this reference number.

      32. Adults Tax Free: Select the number of tax free adults.

      33. Children Tax Free: Select the number of tax free children.

      34. Guest Type: Select a guest type from the list. For more information, see Configuring Guest Types.

      35. Guest Status: Select a guest status from the list. For more information, see Configuring Guest Status.

      36. Entry Date: Enter or select an entry date in country.

      37. Entry Point: Select an entry point from the list. For more information, see Configuring Country Entry Points.

      38. Next Destination: Enter the next destination for the guest.

      39. Expected Time of Return: Enter a return time (Available when Advanced Check in OPERA Control is active).

        1. ETR Comments: Enter any comments related to the guest return.

        2. Receive External Notification: Select checkbox for guest to receive external notifications.

      40. Click Save.

Changing Stay Dates

In order to change stay dates, room type or rate code you are directed to the Look to Book Sales Screen to confirm availability. When the Enforce Same Stay Dates For Sharing Guests OPERA Control is active, shared reservations are required to share the same arrival and departure dates. For more information, see Managing Reservations Shares.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to . . . Reservation or open the reservation by clicking the confirmation number.

  4. Select Stay Details and then click Edit with Look to Book to launch Look to Book. 

    1. When the Look To Book Sales screen appears, make changes to stay dates, number of guests, and other details.

    2. If changing the room type/rate, click and drag a different room type/rate to the Trip Composer and then click Confirm.

Assigning a Block to a Reservation

To assign a reservation to an existing block and pickup a room from the block allocation.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.
  2. Enter search criteria, then click Search.

  3. Select the reservation in the search result, then click I Want to . . ., and then select Stay Details.

    1. Block Code: Click Assign Block.

      1. Select a block from the search result then click Select

        Note:

        Click Modify Search Criteria to update the default search criteria and search for other block dates.
    2. Update the reservation details.

    3. Click Save.

Unassigning a Reservation from a Block

To remove (release) a reservation from a block allocation and pickup a room from house availability.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.
  2. Enter search criteria, then click Search.

  3. Select the reservation in the search result, click I Want to . . ., then select Stay Details.

    1. Block Code: Click Remove.
