Lock multiple visits for a subject

From the Data Management view, you can lock multiple visits for a subject at once.

When you select multiple visits, the Manage menu may display both Lock and Unlock options. Visits to which the selected option does not apply are skipped. Similarly, if a visit is partially locked, choosing Lock updates only the necessary data to match the selected state for the entire visit. Hidden questions within the selected visits are also locked.
To performs this task, you must be assigned with the Lock Subject Data Entered at a Site permission.
  1. From the Home page Access your study in a specific mode.
  2. Along the top, make sure Subjects is selected.
  3. In the upper-right corner of the page, select the Data Management view.

    Tip:

You can use filters to narrow your list and search for specific subjects or visits to lock. For more information, see Learn to navigate the Data Management view.
  4. Locate the specific subject whose visits you want to lock.
  5. On the Subject ID column, select the subject's number (ID).
The subject's visits appear in the table, as well as their corresponding statuses and dates.
  6. Select the visits whose data you want to lock.
  7. From the Manage drop-down select Lock.
If you want to lock a single visit, you can also use the Actions drop-down to the right.
  8. On the Lock Data dialog, select Lock to proceed.

If the locking of multiple visits is successful, you see a notification on the screen indicating that the locking is successful. If locking of a visit fails, any previously locked data, as well as any previously locked subjects or visits remain locked. The application attempts three more times to lock those specific visits. Until the locking action is complete, you may not see the expected Locked icon Lock next to them.

After locking a visit, no other user can edit the data in them until they're unlocked. Upon accessing a locked visit, all questions are read-only, and display the same Lock icon Lock next to each.

For more information on the expected behavior for locked data, see Understand the subject data locking process.
