Reviewing Quote Summary Information

In the Quotes Summary view, the sales user can see the revenue, profit, and availability information for the function spaces and room blocks associated with the quote. The Summary form displays a summary of the sleeping room, function space, and total quote revenue and profit information.

This section, which is a task in Process of Managing Property-Specific Event Quotes, includes the following related topics:

To review the quote summary

Navigate to the Quotes screen > List view.
In the Quotes list, query for the quote.
In the Quote record, click the link in the Name field.
Click the Summary view tab.

From the quote Summary form, scroll down to view information in the Revenue Threshold, Negotiation Rates, Functions and Room Block Items lists.

The following table describes some of the fields in the Summary form.


Field	Comments
Total Revenue	Total revenue for the quote, sum of function space revenue, and room block revenue.
Total Square Feet	Sum of the actual square feet for each function space associated with the quote.
Refresh	When a change is made to a line item or room block, the Refresh flag is checked to indicate to users that the Refresh button should be clicked for revenue recalculation.
Total Room Nights	Sum of all contracted rooms associated with the quote.
Sleeping Room Revenue	Sum of the revenue for all sleeping rooms associated with the quote.
SR Availability	An aggregate inventory status for all the room block line items. Indicates sleeping room availability with one of the following values: Total Not Available Partial
Function Space Room Rental	Sum of function space rentals for the quote.
Function Space Revenue	Sum of function space revenues for the quote.
Function Space Profit	Sum of function space profit for the quote, with each function space profit calculated as function space revenue multiplied by the profit percentage defined for the rental.
FS Availability	An aggregate inventory status for all the functions associated with a quote. Indicates function space availability with one of the following values: Total Not Available Partial
Required Threshold	Sum of the threshold for each function space associated with the quote. For more information on threshold calculations, see Profit and Revenue Thresholds.
Threshold Profit Variance	Function space profit minus the required threshold value. If the value is negative, the quote did not pass the threshold. If the value is positive, the quote passed the threshold.
Total # of Covers	Sum of the expected number of attendees for all functions associated with the quote.

Quote Summary Revenue Thresholds List

The Quote Summary view's Revenue Thresholds list shows the overall revenue and profit associated with all of the functions by parent category, as well as the revenue variance by parent category. The revenue variance helps the sales representative determine how much more revenue the representative needs to generate in a particular parent category to meet the required threshold amount for the quote.

Table 6 describes some of the fields in the Revenue Threshold form.

Field	Comments
Parent Category	The parent category of functions and function line items.
Revenue	The revenue associated with the parent category.
Profit %	The profit percentage for the parent category (defined by the administrator using the Property Pricing Admin screen).
Expected Profit	The expected profit for the parent category calculated by multiplying revenue by the profit percentage.
Revenue Variance	Shows how much more revenue the user has to produce in a particular parent category to meet the required quote threshold amount. This field is calculated by dividing the Threshold Profit Variance by the parent category's profit %.

Quote Summary Functions List

The Quote Summary Functions list shows the functions associated with the quote. The information displayed in the Summary view is similar to the information found in the Quote Functions view.

Sales users can navigate to other relevant screens and views by clicking the field links within each function record. Table 7 describes the links, and the resulting destination when the links are clicked.

Quote Summary Negotiation Rates List

The Quote Summary Negotiation Rates list shows the negotiation rates associated with the room blocks. This list displays information similar to information displayed in the Negotiation Rates list within the Quotes screen's Room Blocks view. Quote Summary Room Block Line Items List

The Quote Summary Room Block Line Items list shows the room block line items associated with the quote. This list displays information that is similar to the room block line items list within the Quotes screen > Room Blocks view. For more information, see Managing Event Room Block Information in Quotes.
