Inquiring into Item Availability (DIAV)

Purpose: Use item availability to check:

• The quantity available to sell of an item

• The quantity on-order from your vendor

• The next expected delivery date for an item

• The soldout status of an item

• The quantity available for an item at a given location in the warehouse

• The pending purchase order deliveries

• pricing information for an item/SKU in a specific offer

You can also select this option if you need to:

• Capture a lost sale, if the customer decides not to order an item because it is not in stock. This enables you to track true demand for the item, and reevaluate the quantity of the item to purchase in the future.

• Select an item for an order in Order Entry using the “notepad” function. This tags the item for the next order you enter, allowing you to add the item to the order automatically.

• Inquire into availability in remote systems, such as store locations, and generate a store fulfillment request if the customer prefers to pick the item up at the store or have the store ship the item rather than wait for shipment from the warehouse. Determining the Offer and Price

Overview: The offer displayed next to each item/SKU in item availability controls the pricing information displayed. Also, any lost sales you enter in order entry (by entering 9 next to the item and a lost sale quantity) post to that offer. The system determines the offer to display as follows.

Selecting the offer if you use cross-company scanning: The offer displayed is controlled by:

• If you advance to item availability through the menu option (DIAV):

• the offer (and company) you enter at the prompt screen; otherwise,

• if you do not select an offer, the default Current Offer (A33) from the System Control file for your current company.

• If you are in order entry:

• if you switch companies by selecting a source code in a different company, the offer associated with the selected source code; otherwise,

• the default Current Offer (A33) from the System Control file for your current company.

Selecting the offer if you do not use cross-company scanning: The Display Item Availability screen displays:

• The most current active offer for which there is a current single-unit Item Price or a SKU Price. The most current offer is the offer with the latest Begin date that is not in the future, an End date that is not in the past; a current price is one that does not have a future Effective date. If two or more qualifying offers have the same Begin date, the screen displays the first of the offers alphanumerically.

• If there is no current active offer with a current single-unit Item Price or a SKU Price, the screen displays the default Current Offer (A33) from the System Control file.

Selecting the price: Once the system has selected the offer as described above, it determines the price:

1. If there are any single-unit SKU Price records associated with the selected offer, display the SKU Price record with the latest date that is not in the future; otherwise,

2. If there are any single-unit Item Price records associated with the selected offer, display the Item Price record with the latest date that is not in the future; otherwise,

3. If there are any multi-unit SKU Price records associated with the selected offer, display the SKU Price record with the latest date that is not in the future; otherwise,

4. If there are any multi-unit Item Price records associated with the selected offer, display the Item Price record with the latest date that is not in the future; otherwise,

5. Do not display a price.

When is there no price displayed for an item/SKU? Although the system often uses the presence of a current single-unit Item Price or SKU Price to select the offer, there are situations when there is no current price to display given the logic described above:

• When you use cross-company scanning and specify an offer, or scan on a source code in order entry.

• When the default Current Offer (A33) from the System Control file is displayed, either through cross-company scanning or because the system did not find an eligible current offer.

Display Selected Items screen: When you advance to the Display Selected Items Screen, the price indicated is the same as the price determined using the logic described above and displayed at the Display Item Availability Screen (Reviewing Item Availability): that is, it is based on first selecting the offer and then selecting the most current price for the offer, as described above.

Price in order entry may differ: The actual price at which the item/SKU is added to the order may differ from the price displayed at the Display Item Availability Screen (Reviewing Item Availability) and the Display Selected Items Screen. For example:

• The source code on the order header might be associated with a different offer.

• The quantity ordered might qualify for a lower unit price.

• The customer might be an associate or a President’s Club member, have an active customer membership, or be eligible for other discounting.

• The customer’s address might qualify for tax-inclusive pricing.

Example:

Item PA123 has prices in the following offers on a date of 11/16/06:

• OF1 (offer date range 10/1/06-12/31/08):

• $50.00 / quantity = 1 / Effective date = 11/1/06

• $55.00 / quantity = 1 / Effective date = 11/10/06

• $45.00 / quantity = 5 / Effective date = 11/15/06

• OF2 (offer date range 9/1/06 -12/31/08):

• $51.00 / quantity = 1 / Effective date = 11/5/06

• $52.00 / quantity = 1 / Effective date = 11/14/06

• $47.00 / quantity = 1 / Effective date = 11/14/06

Additionally, there is a SKU Price for the XLRG TALL SKU in OF2: $60.00 / quantity = 1 / Effective date = 10/1/06

Result:

• The screen displays the XLRG TALL SKU with an offer of OF2 and a price of $60.00, because the SKU Price overrides the Item Price.

• The screen displays the other SKUs with an offer of OF1 and a price of $55.00:

• The OF1 offer is selected because it has the later start date of 10/1 vs. 9/1

• The $55.00 price is selected because it has the latest Effective date of single-unit Item Prices

Display Prompt Screen?

A prompt screen may open when you advance to item availability through the menu option (DIAV). You can use this prompt screen to specify the offer to use when cross-company scanning is set to Y in your company. If you do not use cross-company scanning, you do not need to enter an offer at the prompt screen, because the system selects an offer; in this case, you might want to prevent the prompt screen from appearing. To do so, use the Work with Menu Options option (fast path = WOPT), to change the Program name for Item Availability to FLR0650. See Installation Setting Up Menu Options (WOPT).

Item Availability Screen (Select Offer)

Purpose: Use this screen to select an offer and advance to the Display Item Availability Screen (Reviewing Item Availability).

How to display this screen: Enter DIAV in the Fast path field at the top of any menu or select Display Item Availability from a menu. You advance to this screen only if you are working in a company set up for cross-company scanning, as described above under Display Prompt Screen?.

Offer field: Enter the offer whose item pricing (and aliases, if using item aliases; see Displaying Item Aliases) you want to review at the Display Item Availability Screen (Reviewing Item Availability). If you do not enter an offer, the Display Item Availability screen uses the default Current Offer (A33) from the System Control file. See Determining the Offer and Price for an overview.

The offer code is a three-position, alphanumeric field.

Display Item Availability Screen (Reviewing Item Availability)

Purpose: This screen contains item availability and purchasing information for the items you sell. You can also use this screen to review warehouse locations, pricing, and item information; to record lost sales; or to inquire further about open purchase orders. If you display this screen in Order Entry, you can copy item and quantity information to a notepad, and add these items automatically to an order for a customer.

How to display this screen:

• Enter DIAV in the Fast path field at the top of any menu or select Display Item Availability from a menu. You advance directly to this screen only if you are working in a company that is not set up for cross-company scanning; see Display Prompt Screen?.

• Press Enter at the Item Availability Screen (Select Offer)

• If the Default Item Availability Screen in Order Entry (J60) system control value is set to N:

• Press F14 at the Select Customer Sold To For Order Screen

• Press F14 at the Customer Selection Screen in Order Entry

Restricted items, identified by a Y in the Restrict field in the SKU file, are not included on the Item Availability screen.

This screen displays item availability only for items warehouses for which the Alloc (Allocatable) flag is set to Y.

Displaying Item Aliases

If the Display Item Alias (D56) system control value is set to Y, this screen displays each item by its alias, if an alias is defined for the item in the selected offer. An alias is an alternative name you use to present an item to your customers; you might use aliases to track how presentation within an offer affects demand. The system uses these guidelines when displaying item alias information:

Positioning: Whether you enter an actual item code, a partial item code, or an alias in the Item field, the system always displays items positioned alphanumerically by the actual item code. You can scan by entering:

• a full or partial item code. The system displays the alias for the selected offer if it exists, but still positions alphanumerically by the actual item code.

• a valid alias code. The system displays the alias positioned alphanumerically by the actual item code. For example, the actual item code is BU001, while the item alias is RAB234. The system displays items positioned alphanumerically to BU001, while the item alias of RAB234 displays.

Most current offer: If the alias you enter is not associated with the most current offer as selected by the system, the system still positions alphanumerically to the correct item, although the alias associated with the most current offer actually displays. For example, if item AB100 has an alias of SPRING100 in your current offer but you search for it by entering WINTER100 (the alias from a previous offer), the system positions to the correct item, but displays the spring alias for the item. Lost sales post to the most current offer selected by the system. See Determining the Offer and Price for information on how the system selects the offer.

If you enter an invalid alias code, the system displays items and/or aliases positioned alphanumerically by actual item code. In the example, if you entered RAB345 (an invalid alias code) in the Item field, the system would display item and/or aliases whose actual item codes begin with “R.”

Description

S (Status)

(Unlabeled field)

A code displayed to the left of the item number that identifies the selling status code for your items, such as "discontinued." These codes can be used for sorting inventory reports or for cycle counting in a physical inventory.

Item status codes are defined in and validated against the Item Status file. You can assign a status code to an item in the Status field in the Item file or in the SKU file. If a SKU has a different status in the SKU file than in the Item file, the screen displays the SKU status.

Alphanumeric, 1 position; display-only.

Item

The code for an item that you sell. Item numbers are defined in and validated against the Item file.

This is the base item number; the SKU code, if any, appears after the item number to accurately identify the item.

An item alias may display instead of the actual item code. See Displaying Item Aliases.

Enter a full or partial item code, or a valid alias code, to display items in alphanumeric order beginning with your entry. See Displaying Item Aliases on scanning if you are using aliases.

Prompting on this field displays the:

Alias Selection Screen if the Display Item Alias (D56) system control value is set to Y;

• otherwise, it displays the SKU Cross Reference Selection Screen if the Search SKU Cross Reference (J56) system control value is set to Y and the Display Item Alias (D56) system control value is set to N;

• otherwise, it displays the Item Selection screen, listing all items in your company in alphanumeric order.

Note: The Search Offers for Alias (J68) system control value does not affect the function of this field; if you enter an alias, the system searches all active offers for a match.

• Alphanumeric, 12 positions; optional.

SKU

The specific style of the item, such as its color, size, or style.

Alphanumeric, one 14-position field (full SKU) or three 4-position fields (split SKU); display- only.

Whs (Warehouse)

The code for the warehouse where the item is stored. Warehouse codes are defined in and validated against the Warehouse file. See Warehousing Creating and Maintaining Warehouses (WWHS).

Numeric, 3 positions; optional.

Avail (Quantity available)

 The quantity of the item that is available to sell in this warehouse. This quantity includes only reservable locations, not locations defined as defective or return-to-vendor. Item availability is calculated as follows:

On hand - Protected - Reserved - Reserve Transfer - Backordered = Quantity Available

When this field is blank or this value is followed by a minus sign, the item is unavailable or on backorder.

Numeric, 7 positions; display-only, updated by the system.

On ord (Quantity on-order)

 The total item quantity you expect to receive on purchase orders. This value is increased by PO Entry and reduced by PO Receiving.

If you receive purchase orders into suspense, the amount of stock received remains in this field until you place the suspended stock through Suspense placement.

Numeric, 7 positions; display-only, updated by the system.

Ord qty (Order quantity)

The number of units of this item that the customer wants to order.

See Selecting Items Prior to Order Entry.

Numeric, 5 positions; optional.

P/O date (Next expected P/O date)

The date when you next expect to receive this item from your vendor in this warehouse, based on the date entered during PO Entry or calculated using the value in the Lead days field in the Vendor/Item record.

This is the date of the next purchase order you can use for new orders (that is, if there are earlier backordered orders already awaiting a purchase order that you expect to receive in the shorter term).

The next expected purchase order date is cleared once you receive the purchase order through Purchase Order Receipts.

If you receive purchase orders into suspense, run Batch Purchase Order Layering to update this field. Once you place the suspended stock, run Batch Purchase Order Layering again in order to clear this field. See Customer Service Purchase Order Layering and Backorder Notifications.

If an open PO does not exist:

• If the Include Projected Returns in Available Quantity for OE (L68) system control value is set to Y, the system calculates an expected date by adding the FTC -- # of Days for Items without Expected Ship Date (C71) to the current date.

• If the Include Projected Returns in Available Quantity for OE (L68) system control value is set to N, this screen does not display an expected date for items that are not on any open purchase orders, regardless of the setting of the Calculate Expected Date in OE if No PO (J61) system control value.

 

Finished goods: For finished good items created through the work order process, this field indicates when the finished good will be ready for sale, and is derived from the date entered on the work order header. See Warehousing Finished Good Work Order Processing (WWOR) for more information on work orders.

Drop ships: This date is included for drop ship items only if the Assign Drop Ship Expected Ship Date (I59) system control value is set to Y. See that system control value for more information.

Numeric, 6 positions (MMDDYY format); display-only.

Qty (Next expected quantity)

The number of units of this item ordered on a purchase order that will be available for new orders.

If the Include Projected Returns in Available Quantity for OE (L68) system control value is set to Y, the system includes an item’s Projected return quantity in the next expected quantity. Example: If the open PO quantity is 100 and the projected return quantity is 10, 110 displays as the next expected quantity.

Item description (unlabeled field below the item)

The description of the item.

By default, both the item description and the SKU description are displayed when you advance to this screen. To toggle between displaying both descriptions or just the SKU description, press F17.

Offer

A code representing a catalog or other medium you use to present merchandise to your customers. This can be either:

• the offer you entered at the initial Item Availability screen, or

• the current offer defined in the System Control file if you pressed Enter at the Item Availability Screen (Select Offer), or advanced to this screen by pressing F14 in Order Entry, or

• the offer selected by the system as most current based on its date range and the presence of an Item Price or SKU Price. See Determining the Offer and Price for more information.

Alphanumeric, 3 positions; display-only.

Ofr prc (Offer price)

The most current single-unit price for the item in the selected offer. If there is no current single-unit price, but there is a current multi-unit price, this is the multi-unit price. If there is no current Item Price of SKU Price for the item in the selected offer, this field is blank. See Determining the Offer and Price for more information.

Numeric, 7 positions with a 2-place decimal.

S/O (Soldout control code)

This code defines which calculation the system uses for item soldout processing. For example, you can define a soldout control code to flag items as sold out:

• when available quantity is less than or equal to zero, including open purchase orders and projected returns

• when available quantity is less than or equal to zero, excluding open purchase orders and projected returns

• the item must sold out immediately

You assign these codes in the SKU file, or, if the item does not have SKUs, at the second item entry screen.

Displayed only if a soldout code has been assigned to the item or SKU.

Alphanumeric, 2 positions; display-only.

If you are using this screen within Order Entry, enter the number of units of the item the customer wants to order in the Ord qty field. See Selecting Items Prior to Order Entry.

Check warehouse locations for the item to see the quantity available to sell

Enter 5 next to an item to display the On Hand by Warehouse Screen (Reviewing Quantities On-hand by Warehouse).

Review pricing for the item, based on special pricing set up for the item in an offer

Enter 7 next to an item to advance to the Display Item/Offer Prices Screen.

Review expected deliveries for the item

Enter 8 next to an item to display the Display Open Purchase Orders Screen.

Log a lost sale for an out-of-stock item

Enter 9 next to an item. Enter the quantity that the customer would have ordered in the Ord qty field and press Enter. See Capturing Lost Sales.

Display important item information

Enter 11 next to the item to display the Work with Item Information Screen (Customer Service Template).

Search for the item across warehouses and stores in external systems

Enter 15 next to an item to advance to the:

Merchandise Locator Search Window (.NET) if you integrate with Locate 2.1 or 2.5 through the cw_locate site. See Merchandise Locator and Store Fulfillment Process Overview (.NET) for more information.

Merchandise Locator Search Window (JAVA integration) if you integrate with Locate 5.1, 5.3, or later directly. See Merchandise Locator Searching through JAVA for more information.

Note: This option is not available if you have already selected a quantity of the item to add to the order, or for store fulfillment. Instead, the system displays an error message: Option not allowed since item already selected.

Note: You cannot perform a merchandise locator search for an item/SKU if:

• the Use Merchandise Locator (I38) system control value is set to N. Otherwise, the system displays an error message: Merchandise Locator is not enabled.

• you have already entered an Ord qty to add to the order. See the Display Selected Items Screen for a workaround.

• the item is not flagged as Locate eligible, if you integrate directly with Locate 5.1 or higher. See Merchandise Locator Searching through JAVA for more information.

 

• if you integrate with Locate 2.1 or 2.5 through the cw_locate site, the item is on an order, and it is:

• soldout, canceled or closed

• included on a printed pick slip (however, if the pick slips have been voided, you can use the merchandise locator option)

• a component of a set

• a continuity item (rather than a component of a continuity item)

• a membership item

• a subscription item

• already flagged for store fulfillment

Display or hide the option fields on the left side of the screen

Press F2.

Create a tickler for a MN (manually created) tickler event

Press F6 to advance to the Create Tickler Screen.

Note: To create a MN tickler, you must have authority to the Create Manual Tickler (B13) secured feature.

Scan for an item or SKU by SKU description

Press F7 to advance to the Display SKUs Screen (Scanning Items by SKU Description).

Display items selected for the order

If you are using this screen within Order Entry, press F8 to display the Display Selected Items Screen to verify, add, or delete items for the order.

Toggle between displaying either just the SKU descriptions or both item descriptions and SKU descriptions below the item numbers

Press F17.

Note: If the Item and SKU scan fields are blank, when you press F17 to toggle between item and SKU descriptions, the system repositions you to the beginning of the item list.

Selecting Items Prior to Order Entry

Purpose: Use this option to select items for a new order directly from the Display Item Availability Screen (Reviewing Item Availability). These are items that the customer wanted to verify are in-stock, and now wants to order.

You can use this option to add items to an order only if you are viewing this screen within Order Entry. The system does not save this information if you selected the Display Item Availability function from a menu.

Instructions:

1. Locate the desired item.

2. Enter the number of units the customer wants to order in the Ord qty field on the right side of the screen.

3. Press Enter.

4. Repeat Steps 1-4 for each item the customer wants to order.

5. Optionally, press F8 to display the items you've selected. The Display Selected Items Screen opens. Here, you can verify, add, or remove items from the notepad.

6. Press F3 or F12 when you finish ordering items. You advance to the Select Customer Sold To For Order Screen (if you are not a CTI user) or the Customer Selection Screen (if you are a CTI user).

7. Begin entering an order.

8. Complete the order header information as needed.

9. Press Enter. The Display Selected Items Screen opens automatically.

10. Press Enter to add these items to the order, enter 4 next to the items the customer doesn't want, or press F11 to remove all items from the order.

Note: The Work with Item/SKU Comments Window opens if there are any comments associated with the selected item or SKU. Comments must be flagged with a W (for pop-up window) to appear.

If you use cross-company scanning: If you are working in a company that has cross-company scanning selected in the Company file, you can scan into other companies that also have cross-company scanning enabled by selecting a source code in a different company in the process of selecting a customer for order entry. However, you cannot carry selected items from one company to another; instead, the system clears the contents of the clipboard when you switch companies. See Setting Up Companies (WCMP) for more information on enabling cross-company scanning.

Display Selected Items Screen

Purpose: Use this option to display a screen listing the items which have been tagged to add to the order or for store fulfillment, or to delete items from the notepad.

Store pickup or shipment: The store pickup option is available only if the Use Store Pickup (I41) system control value is set to Y. Similarly, the store shipment option is available only if the Use Store Shipment (J02) system control value is set to Y. See Merchandise Locator and Store Fulfillment API through .NET for an overview.

Adding items to the order: See Selecting Items Prior to Order Entry for more information.

How to display this screen: Press F8 at the Display Item Availability Screen (Reviewing Item Availability). You can also display this screen by exiting the Display Item Availability Screen (Reviewing Item Availability) and then re-entering without clearing the selected item notepad, or by selecting a customer for order entry.

Order entry: The system adds the item to the order when you press Enter at this screen after selecting a customer for the order.

Store fulfillment: Store fulfillment requests are flagged by a message next to the quantity:

Store Pickup = add the item to the order as a store pickup. The customer will pick up the item at the store.

Store Shipment = add the item to the order as a store shipment. The store will ship the item directly to the customer. Once you accept the order, the system automatically deletes each order detail line that represents a store fulfillment request, and sends the Store Fulfillment Request XML Message (StoreFulfillmentRequest) (.NET) to the selected store. Changing the quantity: Optionally, you can increase or decrease the quantity to order. If you clear the quantity, or change the quantity to zero, the system displays the Confirm Delete window when you press Enter. Press Enter to confirm the delete; otherwise, press F12 to retain the item.

Avail (Available quantity)

The quantity of this item or SKU currently available to sell in all allocatable warehouses. This quantity includes only reservable locations, not locations defined as defective or return-to-vendor. Item availability is calculated as follows:

On hand - Protected - Reserved - Reserve Transfer - Backordered = Quantity available

When this field is blank or this value is followed by a minus sign, the item is unavailable or on backorder.

Ofr price (Offer price)

The most current single-unit price for the item in the selected offer. If there is no current single-unit price, but there is a current multi-unit price, this is the multi-unit price. Note: The price indicated here may differ from the actual price charged for the item once you add the item to an order.

This is the date of the next purchase order you can use for new orders (that is, if there are earlier backordered orders already awaiting a purchase order that you expect to receive in the shorter term).

The next expected purchase order date is cleared once you receive the purchase order through Purchase Order Receipts.

If you receive purchase orders into suspense, run Batch Purchase Order Layering to update this field. Once you place the suspended stock, run Batch Purchase Order Layering again in order to clear this field. See Customer Service Purchase Order Layering and Backorder Notifications.

Finished goods: For finished good items created through the work order process, this field indicates when the finished good will be ready for sale, and is derived from the date entered on the work order header. See Warehousing Finished Good Work Order Processing (WWOR) for more information on work orders.

Drop ships: This date is included for drop ship items only if the Assign Drop Ship Expected Ship Date (I59) system control value is set to Y. See that system control value for more information.

 

Note: This screen does not display an expected date for items that are currently backordered and are not on any open purchase orders, regardless of the setting of the Calculate Expected Date in OE if No PO (J61) system control value.

Performing a merchandise locator search or changing an order line to a store fulfillment request: Once you have entered an Ord qty at the Display Item Availability Screen (Reviewing Item Availability), the system does not allow you to perform a merchandise locator search at that screen and, consequently, you cannot flag the order line for store fulfillment. Possible workarounds are to display the Display Selected Items screen as described above, and then:

From the Display Item Availability Screen (Reviewing Item Availability):

• Clear the entries by pressing F11, then pressing Enter at the delete- confirmation prompt, or just delete the store fulfillment entry(ies) by entering 4 next to the item.

• When you return to the Display Item Availability Screen (Reviewing Item Availability) screen, the item is available for a merchandise locator search.

From order entry:

• Press Enter to add the item(s) to the order.

• Once the item is added to the order, it is available for a merchandise locator search.

On Hand by Warehouse Screen (Reviewing Quantities On-hand by Warehouse)

Purpose: Use this option to determine where an item is available in the warehouse and how many units of the item are stored in each location. This is useful, for example, if the item is out of stock in a location, but readily available in another. It may indicate that you have to transfer the item to a different location so it can be reserved on a new order.

How to display this screen: Enter 5 next to an item listed on the Display Item Availability Screen (Reviewing Item Availability).

Typ (Type)

A code that defines the type of warehouse location where the item is stored.

Valid values are:

P = Primary: the main location where you pick an item.

S = Secondary: An additional location used for picking or replenishment.

B = Bulk: an overstock area in the warehouse to store the item in case lots or cartons that you do not break up at Purchase Order Receiving. Bulk locations are used only to replenish primary and secondary locations for an item.

T = Temporary: a location created only so that you can recognize an item as “received” before you assign a permanent location. The system deletes temporary locations when the quantity reaches zero.

You must define a location as “pickable” for the system to print a pick slip for the location.

The quantity of the item in this location that is available to sell.

Display Item/Offer Prices Screen

Purpose: Use this screen to review pricing information for a specific item or SKU in an offer such as:

• pricing information for all active offers associated with the item/SKU

• the currency code for the offer

• special quantity price breaks

• the gross profit margin percentage defined for a specific price

Note: If you press F5 on this screen, the system displays all active and non-active offers associated with the item/SKU.

Item Prices or SKU Prices? If the selected item is a SKU’d item and there are any prices defined for the SKU in the selected offer, you advance to the Display SKU/Offer Prices screen rather than the Display Item/Offer Prices screen. In this situation, the screen does not display any prices set up at the item level.

Example:

You set up pricing for item AB123 at the item level, with the exception of tall sizes, which use a different price structure. When you display pricing for AB123 BLUE MEDM REG, you advance to the Display Item/Offer Prices screen, which displays Item Prices set up for Item Offers. However, when you display pricing for AB123 BLUE XLRG TALL, you advance to the Display SKU/Offer Prices screen, which displays any SKU Prices set up for SKU Offers, and does not display any Item Prices set up for Item Offers.

How to display this screen: Enter 7 next to an item or SKU, for which you wish to review pricing information, on the Display Item Availability Screen (Reviewing Item Availability). A different screen displays depending on whether you are reviewing pricing information for an item or SKU.

Item code: Alphanumeric, 12 positions; display-only.

SKU

The SKU information is displayed only when there is pricing set up at the SKU level for this SKU; in this situation, the screen name is Display SKU/Offer Prices rather than Display Item/Offer Prices. See above for a discussion.

SKU: Three 4-position fields (split SKU) or one 14-position field (full SKU); display-only.

SKU description: alphanumeric, 40 positions; display-only.

Curr code (Currency code)

A code that defines the currency for orders you process for this offer.

Note: This field appears only if the Multi Currency by Offer (E03) field in the System Control file is set to Y.

When you enter a source code associated with this offer in Order Entry, the system searches for a price only among offers that share this currency. Additionally, you cannot override the offer on an order detail line to one with a different currency.

The currency used on an order is indicated by the bank code on various screens and reports, such as those having to do with refunds. This is because each currency must be associated with at least one unique bank. When you create a source code, you must specify a division which links to a bank code that is consistent with the currency of the offer.

The currency code is defined in and validated against the Currency file. See Accounts Payable Working with Currency (WCUR).

Offer code

A code representing the catalog whose prices you are reviewing.

Offers are defined in and validated against the Offer file. Use the Item/SKU Offer file to identify which items/SKUs are carried in the offer. Also, use the Item/SKU Prices file to define price breaks for the item/SKU in the offer.

Alphanumeric, 3 positions; optional.

Qty (Quantity)

The quantity of the item/SKU that must be purchased to receive the price break. Any SKU ordered for this item is counted towards this quantity.

This number is defined in the Qty field in the Item Prices file.

Price

The selling price of the item for your regular customers who order the required quantity of the item or who belong to the appropriate pricing column.

Tax incl (Tax-inclusive price)

The price at which the item is sold on orders subject to tax-inclusive pricing and VAT. Included only if the Tax Included in Price (E70) system control value is set to Y.

The percentage of the item's price that exceeds the cost of the item. You can use gross margin to determine the profit of an item on the order based on the item's selling price.

The Display Gross Margin (A65) secured feature controls the display of this field in order entry, maintenance, inquiry and item availability.

Assoc price (Associate price)

The selling price of the item for your associate customers (Associate = Y in the Customer file) who order the required quantity of the item or who belong to the appropriate pricing column.

Items eligible for the price break are repriced automatically and the system updates the pricing method field with *Quantity Break Price.

Tax incl (Tax-inclusive associate price)

The price at which the item is sold to associate customers on orders subject to tax-inclusive pricing and VAT. Included only if the Tax Included in Price (E70) system control value is set to Y.

Column (Column number)

The pricing column eligible for this price break.

Customers belonging to this pricing column receive the quantity price break automatically, regardless of the quantity ordered.

Capturing Lost Sales

Purpose: Use this option to flag a lost sale for an item that the customer would have ordered if the item was available. This option helps you capture true demand for an item. This figure is important so you can order enough stock for the item in the future to meet demand.

Why lose sales? You may lose a sale if the customer inquires about the availability of an item before placing an order. If the item is backordered, the customer may decide not to place an order at this time. Because of this, you lost a potential sale.

Recording the lost sale: The dollar value and the number of lost sales are captured in the Units lost CTD field in the SKU/Offer/Page record.

When you enter lost sales, the system assigns them to the offer currently displayed on the Display Item Availability Screen (Reviewing Item Availability). Additionally, the system posts the lost sales to page number 99999 in the offer if no Item/SKU/Offer record exists for the item, or if no page number was defined.

Instructions:

1. Press F2 at the Display Item Availability Screen (Reviewing Item Availability) to display the option entry fields on the left side of the screen.

2. Locate the item that the customer wanted to order.

3. Enter 9 next to the item.

4. Enter the quantity of the item that the customer would have purchased in the Ord qty field on the right side of the screen.

5. Press Enter. The system calculates the dollar amount and number of units in lost sales for the item.

6. Repeat these steps for each item you want to identify as a lost sale.

Display SKUs Screen (Scanning Items by SKU Description)

Purpose: Use this screen to locate a particular item or SKU based on a SKU description. You can then select the item or SKU to display on the Display Item Availability screen.

How to display this screen: Press F7 at the Display Item Availability Screen (Reviewing Item Availability). You can also advance to this screen by selecting the Display SKU Screen menu option (Fast path= DSKU). If you use this method you cannot select a SKU from the SKU list.
