Configuring FSM Project Labour Cost Posting

Configure the debit and credit accounts for labor recovery journal entries and the Create Time Journal action on project records. Time bill records supply the saved cost and duration. No separate JSON setting controls the amount calculation. For information about processing and time eligibility, see FSM Project Labor Cost Posting.

This topic includes the following sections:

Properties and Defaults

The following table lists the posting-account and action settings.

Property or Setting

Location

Accepted Value

Default

Effect

Specifies the debit account for labor recovery lines. Both posting accounts are required for the action to be available.

credit_account

accounting

Account internal ID

Specifies the credit account for labor recovery lines. Both posting accounts are required for the action to be available.

hidden

views/project/journal

Boolean value

Hides Create Time Journal when hidden is true.

name

views/project/journal

Page-button ID

"custpage_nx_journal"

Identifies the action button.

label, success, error

views/project/journal

Text or translation identifiers

Translated Create Time Journal label, success message, and generic error message.

Changes the action label and result messages without changing the accounting operation.

Field Service Time Cost

Time bill records (custcol_nx_time_cost)

Saved hourly cost

Standard sourcing uses the employee's Field Service Labour Cost.

Supplies the rate used by the journal entry action.

Default JSON

The following fragment shows the standard defaults for the properties included. Other properties remain inherited. Unconfigured posting accounts prevent journal entry creation by default, even when hidden is false.

            {
  "accounting": {
    "debit_account": 0,
    "credit_account": 0
  },
  "views/project/journal": {
    "hidden": false,
    "name": "custpage_nx_journal"
  }
}

Changing Posting Accounts

Prepare an inactive copy of the active Field Service Configuration record, then make the changes in its Editor. For preparation, validation, and activation instructions, see Updating and Validating FSM Configuration.

Select accounts appropriate to the project record's subsidiary, currency, and accounting setup, and available to the execution role.

Set both account IDs:

Note:

The account IDs 101 and 202 are examples. Replace both IDs with valid account internal IDs from your NetSuite account.

            {
  "accounting": {
    "debit_account": 101,
    "credit_account": 202
  }
}

When both posting accounts are configured and hidden is false, Create Time Journal appears in project view mode if eligible uncosted time exists.

To hide Create Time Journal, set hidden to true under the literal root property "views/project/journal". Button labels and messages are listed in FSM NetSuite View Configuration.

Changing Labour Posting Availability

Best practice: When native NetSuite Job Costing and Project Budgeting is enabled, use its Post Time workflow and disable FSM labor cost posting. Both workflows can be available in the same account, and using both for the same time can duplicate labor costs.

The following is the recommended disabled configuration for those accounts. Set both FSM labor posting accounts to numeric 0, their unconfigured defaults, and hide the project action:

            {
  "accounting": {
    "debit_account": 0,
    "credit_account": 0
  },
  "views/project/journal": {
    "hidden": true
  }
}

This fragment overrides only the included properties. Apply this fragment to the existing configuration and preserve other settings, including profitability report IDs. Ensure both effective posting-account values are numeric 0. The string "0" does not turn off FSM labor cost posting. For shared editing and activation instructions, see FSM Configuration.

Unconfigured posting accounts stop the standard server journal action before it selects time or creates a journal entry, including calls through the FSM API. hidden: true removes Create Time Journal from the project form. Hiding the button alone does not stop the server action if posting accounts remain configured.

Dependencies and Customization Limits

Warning:

The action saves the journal entry before marking the selected time bill records as costed. A partial failure can leave time eligible again even though a journal entry exists. Changing accounts or hiding the button does not reverse the earlier journal entry. Repeating the action after an error or an uncertain response can duplicate labor costs. Confirm whether journal creation and the costing updates completed before repeating the action.

The standard action has no confirmation or preview step. Its response displays a message without automatically opening the journal entry. The message does not establish whether the journal entry is approved or posted to the general ledger.

Changes to the employee's current cost do not replace costs already saved on time bill records.

When Changes Apply

Account changes apply to later journal requests without reposting existing journal entries or recalculating costs already saved on time bill records. Button visibility changes take effect the next time the project form loads. Turning off FSM labor cost posting affects later requests. This change does not cancel an action already processing, reverse existing journal entries, or reset costed time.
