NSEB Sandbox Quick Start

To get started with the usage of NSEB in sandbox, you must understand the following steps:

  1. Prerequisites

  2. Register with Oracle Business Network in your NetSuite Sandbox

  3. Provision Avalara with your NetSuite Sandbox

  4. Mandate Activation of Avalara Sandbox company

  5. Daily Usage in Sandbox

  6. Sandbox Refresh Process in NSEB

Prerequisites

  • You need to register your subsidiary as a Trading Partner on Oracle Business Network. You must perform this step in production NetSuite account and not in sandbox. For more details, see, Setting Up OBN Processes.

  • You need to complete Avalara provisioning in your production NetSuite account. For more details, see Avalara Provisioning. You must perform this step in production NetSuite account and not in sandbox. You can perform this step in production whenever you need it, and then proceed with provisioning in the sandbox.

    Note:

    The above step is not required for SuiteProcuement users.

Register with Oracle Business Network in your NetSuite Sandbox

To connect to OBN from your NetSuite Sandbox, you must perform OBN Trading partner registration in NetSuite Sandbox:

  1. Go to Setup>NetSuite Electronic Business > OBN Registration

  2. Authorize OBN to connect to your NetSuite account.

  3. Register the parent subsidiary by providing your OBN username and password and also provide the OBN unique identifier for that subsidiary.

    Note:

    To get the OBN unique identifier value for the subsidiary, login into your NetSuite production account through the OBN manager role. Go to the OBN Registration page, refer to the list of subsidiaries and their OBN unique identifier from the table.

  4. You can now proceed to register other subsidiaries to your Oracle Business Network trading partner account.

Provision Avalara with your NetSuite Sandbox

If you complete the OBN Registration in sandbox account after finishing Avalara Provisioning in the production account, the system will automatically complete Avalara Provisioning in sandbox. You can then view the details on the Provisioning and Company screens in sandbox.

If you have not completed Avalara Provisioning in the production account but have already performed OBN Registration in the sandbox account, you must first complete Avalara Provisioning in production account. Then, return to sandbox and click the Provision button to complete the provisioning.

Note:

You can complete Avalara Provisioning in Sandbox only after you have first completed it in the NetSuite Production account.

After you complete provisioning in sandbox, you can proceed with the next steps, such as company creation and mandate activation.

Mandate Activation of Avalara Sandbox company

After a sandbox subsidiary is linked to Avalara, the corresponding Avalara sandbox company can be activated to work with the required mandates. This process is similar to activating an Avalara company in production. The difference is that the company that is activated in NetSuite Sandbox is activated in Avalara sandbox and will be used to test sending and receiving of documents through Avalara sandbox.

Daily Usage in Sandbox

If you are using SuiteProcurement or Electronic Invoicing (Avalara for E-Invoicing) in NetSuite Sandbox after performing the above steps, it will result in sending documents to OBN test mode and Avalara sandbox which will eventually reach the test mode of Trading Partner and tax authority test environment.

Note:

If you are using the Electronic Invoicing SuiteApp, after a sandbox refresh, you must create new transactions to validate generation or certification instead of using transactions which got copied from the production account.

Sandbox Refresh Process in NSEB

Overview

After you perform a sandbox refresh in NSEB, you must properly prepare your sandbox environment before proceeding with additional configurations. This preparation ensures smooth functioning and helps you avoid issues caused by outdated or unnecessary production data in the sandbox instance.

Sandbox Refresh

You can refresh each of your sandbox account from your production account whenever you need to. Refreshing a sandbox account copies all configurations, data, user passwords, and customizations from the source account into the target sandbox account. Any changes you have made to the target sandbox account are overwritten. For more information see, Refreshing Sandbox Accounts.

You must complete OBN Registration as a prerequisite before you can proceed with:

  • Avalara Provisioning

  • Avalara Company Creation

  • Avalara Mandate Activation

By performing OBN registration after the sandbox refresh, the system automatically removes any unnecessary data that may have been copied from your production account, ensuring that your sandbox environment is properly prepared. The system leaves only the essential configuration and test data, ensuring your sandbox is ready for new configurations and testing.
