E-Document Certification Setup (Brazilian Hub SuiteApp)

To send the electronic invoices generated and signed with your NetSuite account to the appropriate tax authority, you must set up the e-document certification according to your business needs.

The following topics describe the settings required for you to use the e-document certification with the predefined tax authorities provided by the Brazil Certification Tax Authorities SuiteApp.

Association of Certification Service Operations with E-Document Templates

To send e-documents to tax authorities, you must associate your e-document templates to their corresponding operations. You do that by linking e-document templates records with the certification service operation records that you use.

Creating a Certification Monitoring Plug-in Implementation

E-documents sent for certification through NetSuite, such as electronic invoices, GNRE tax collection forms, and receiver acknowledgment events will receive information from the tax authorities through a Certification Monitoring plug-in.

You must create a plug-in implementation for the predefined Certification Monitoring provided by Brazilian Hub. Then, you must associate the plug-in implementation with the tax authority certification service records to which you send e-documents for certification.

E-Document Certification Settings Definition for a Brazilian Subsidiary

To send e-documents to tax authorities, you must define the settings used by your subsidiaries to send each type of e-document you generate.

You must do so by creating e-document certification settings records for each combination of tax authority, subsidiary, and type of e-document your company issues. You must also define the certification environment to which you want to send e-documents: production, test, or contingency.

E-Document Certification Requests Processing Capacity Setup

To send e-documents to tax authorities, NetSuite creates e-document certification requests and places them on a queue whenever you send an e-document from a record or transaction. Scripts provided by the E-Document Certification SuiteApp process the requests and send them to the appropriate tax authority.

You can manage the amount of processors available for the scripts to process the e-document certification requests from your account.

E-Document Sequential Order Sending Setup

Some tax authorities require you to send e-documents in sequential order for certification. The order follows the e-document number sequence.

In Brazil, the Campinas (SP) tax authority require that companies send e-documents in sequential order.

To send e-documents in sequential order to tax authorities, you must enter the number of the last certified e-document in NetSuite.

Roles and Permissions for LATAM E-Document Certification

By default, the Administrator role is granted full access permissions to the LATAM E-Document Certification SuiteApp custom records.

GIAP Standard's Certification Custom Fields

To issue electronic invoices for services (NFS-e) to cities that use the GIAP standard, you need to enter your company's authentication token. The city provides the token when you register your company with the tax authority.

You should enter the token in the city's tax authority record provided by the Brazil Certification Tax Authorities SuiteApp.

Florianópolis’ Certification Custom Fields

To issue electronic invoices for services (NFS-e) to Florianópolis (SC), you need to enter the city’s web service authentication data: REST client ID, REST client secret, username, and password. The city government provides the authentication data.

You should enter the authentication data in the Florianópolis tax authority record provided by the Brazil Certification Tax Authorities SuiteApp.

E-Document Validation on Certification Service Operations in Brazil

The Brazil Certification Tax Authorities SuiteApp provides predefined e-document validation files in the XSD format. To leverage the XSD files, verify the list of supported tax authorities and enable the validation for the ones to which you certify e-documents.
