Creating Approval Rules for Email Approval Logs

You can create approval rules to manage the review and handling of logged email replies. Only users with the Administrator role or custom permissions can create approval rules for email approval logs.

If there aren’t any approval rules for email approval logs, approver actions through email are automatically applied to target records. These actions happen after the system validates them in the workflow. With approval rules, you let approvers review and oversee actions before they’re applied to target records.

To create an approval rule for email approval log:

  1. Go to Setup > Approval Process Manager > Approval Rule List.

  2. On the Approval Rule List page, click New Approval Rule.

  3. In the New Approval Rule window, click Use the New Approval Rule page.

  4. On the Primary Information section, complete the following fields:

    1. Name – Enter a unique name for the rule.

    2. Description – (Optional) Enter a description for the rule.

    3. Record Name – Select Email Approval Log.

    4. Start Date – Enter a date when you want the approval rule to start.

    5. End Date – Enter a date when you want the approval rule to end.

    6. Subsidiary – Select a subsidiary.

    7. Saved Search Condition – Select the saved search that you want to apply to this approval rule.

    8. Priority – Enter the approval rule’s priority.

  5. In the Approval Routing section, if a default value is set in the Approver Type column, you can keep it, change, or delete.

    You can add more approvers of the following types:

    • Specific Approver

    • Group (Any)

    • Group (All)

    • Role (Any)

    • Role (All)

  6. Click Save.

If a logged email reply meets a rule’s criteria, it goes to the first approver in the rule’s matrix. The approver gatekeeper gets an email notification to review and either implement or reject the action in the email reply. For more information, see Managing the Email Approval Log.

If a logged email reply doesn’t meet any rule criteria, the record keeps going through the current approval rule. All approver actions sent by email are automatically applied to the target or reference record.

A record approver can be part of the approval matrix in an email approval log rule. Their email reply is logged and goes through the applicable email approval log rule.

An email approver can’t be a log approver, but the record submitter can be a log approver.
