Email Alerts Limitations
Be aware of the following limitations when enabling saved search email alerts:
-
Internal IDs are not automatically included in alert emails. The Show Internal IDs preference does not apply to saved search email alert results. To include Internal ID values in alert emails, add Internal ID as a Results column in the saved search.
-
Saved search email alerts are not personalized per recipient. Alert emails are generated from the saved search definition.
Important:Recipient access isn't enforced, and non-specific criteria may act unexpectedly. Consider the following scenarios and recommendations:
-
Recipient access doesn't limit results. Email alerts don't trim or restrict saved search results based on the recipient's role permissions (for example, subsidiary restrictions or other access controls). Consequently, recipients may get email notifications with record details even if they can't view the record in NetSuite.
Add clear audience filters (for example, Subsidiary, Department, Location, Owner, or similar criteria), and make sure recipients can receive the information. If you need subsidiary separation, create a separate saved search for each subsidiary and set an explicit Subsidiary filter.
-
Non-specific criteria may behave unexpectedly. If a saved search uses values like -Mine- or -My Team-, email alerts may not be sent, or NetSuite may evaluate the filter in an unexpected way.
Avoid using these criteria for email alerts, as they may lead to unexpected results.
