Configure Contacts Sync

You can synchronize contacts between Outlook and Sales.

Contacts sync is bidirectional.

Additionally:

  • When the sync process runs, it looks at all contacts in Exchange that are categorized as Shared with Oracle, and syncs those.
  • The sync process looks at all the contacts in Oracle that match the saved search selected for syncing, and syncs those. The saved search criteria is based on the default set either by the administrator or by the end user, depending on whether you have allowed the users to override the default saved search settings.
  • When syncing a contact from Exchange, the company value on the Contact in Exchange is used to match to the account in Oracle. If there is a matching account found, then sync associates the contact to that account. If there are multiple matching accounts or if there are no matching accounts, then sync will fail with an error and the contact will not be created in Oracle.
  • Changes that are made to synchronized contacts, whether they're made in Outlook or in Sales, are synchronized to the other.
  • The contact's email address, first name, and last names are used to determine if the contact already exists. If there is a matching contact based on all three fields, then the contact will not be created. This is to ensure there are no duplicate contacts created.

Steps to Configure Contacts Sync

Here's how to configure contacts sync:

  1. Navigate to the Sync Configuration page. See How to Get to the Sync Configuration Page for more information.

  2. Under Contact Sync Settings, make changes according to your business needs. See the following table for the meanings of the different settings.
  3. Save your changes.

Default Contact Saved Search Specifies the default Contacts saved search.

Select a Workspace saved search accessible by all the intended roles for the add in users. Contacts won't be shared from Oracle to Exchange for users who can't access the Workspace saved search.

The saved searches that are available are Workspace saved searches. Note that users can override the default saved search in the add-in (if you have enabled the Allow Users to Override Default Saved Search option. See Configure Overall Sync for more information.
Contact Sync Limit Specifies the number of records to be synced in every run of the sync process. The combination of tasks, appointments, and contacts upper sync limit can only be a maximum of 5000 records.
