Defining Authorization Services (WASV)

Purpose: Use this file to define each online service bureau that your company uses. These might include:

credit card authorization services, to authorize credit card charges and/or receive deposit amounts

deposit services to provide settlement for credit card payments

electronic data interchange (EDI) services, to transmit purchase order or invoice information

remote order entry services, such as WATS Marketing, to transmit order, pricing, and inventory information

gift card services, to process stored value cards

Important: Enter information in this file for each online service that you use; this file is not only for authorization services.

About this option: Use the Work with Authorization Services function to:

• define the service companies that you use

• identify the type of service the service bureau performs

• define the parameters that identify your company to the service bureau

• define the information necessary to connect, transmit, and receive data to and from the service, such as:

• valid pay types

• response codes (vendor responses, AVS responses, and CID responses)

• currency codes

• country codes

• merchant IDs for individual entities within your company

• whether the order originated as an internet order

Some of the information required to establish a service bureau on your system is provided by the service bureau. For example, each service bureau will assign you a unique password.

You can use the same service bureau to process your authorizations and deposits, or you can use one service for authorizations and another for deposits.

Deferred/installment pay plans: Deferred or installment pay plans allow you to process deposits against orders at various intervals after you bill the order shipment. For example, you could offer "no payment for 60 days" or "four easy payments" to your customers.

In order to set up deferred or installment pay plans, you must use the Paymentech service for deposits, and the Deferred and Installment Billing (F51) system control value must be set to Y. See Deferred/Installment Billing Overview for more information on deferred and installment pay plans and how to set them up in CWDirect.

Identifying Internet Orders

An internet order is determined in one of two ways:

• If you are using the MICROS e-commerce interface, the system loads an I in the Internet field on the order header when the order is created in CWDirect.

• An order is considered an internet order if the order type on the order matches the order type defined in the E-Commerce Order Type (G42) system control value.

Identifying the transaction type for the service bureau: The Transaction type field in the service bureau’s transmission record indicates where the transaction originated. During authorization and deposit transmission to Paymentech or Nabanco, the system determine whether the transaction is for an internet order.

If the order is an internet order, the system updates the Transaction type field with 7 (non-SET transaction channel encrypted) when transmitting the authorization to Paymentech or Nabanco for processing; otherwise the Transaction type field is updated with 1 (single transaction mail/telephone order).

Authorization and Deposit Communication via CWIntegrate

You can transmit authorizations and deposits to the service bureau for authorization and settlement using CWIntegrate.

CWDirect sends the authorization request or deposit request to CWIntegrate in a generic XML message; CWIntegrate translates the generic message into the format required by the service bureau and sends the translated message to the service bureau. The service bureau then sends a response to CWIntegrate; CWIntegrate translates the message into a generic message and sends the generic message to CWDirect.

Authorization and Deposit Communication via Data Queues and Java Programs

You can transmit authorizations and deposits to the service bureau for authorization and settlement using data queues and Java programs.

• The Relate (Service code RLT) service bureau is set up to process stored value cards between CWDirect and Relate using data queues and Java programs via HTTPS communication protocol. This service bureau also processes activation, balance inquiry, and authorization reversal transactions for stored value cards. See Relate Stored Value Card Integration.

• The Orbital Gateway (Service code ORB) service bureau is set up to process token, authorization, deposit, and stored value card transactions between CWDirect and Orbital Gateway using data queues and Java programs via HTTPS communication protocol. See Chase Paymentech Orbital Gateway Integration.

Merchant ID Hierarchy

The system uses the following hierarchy to determine which merchant ID to use when sending authorization and deposit requests to the service bureau. See Identifying Internet Orders for more information on how the system identifies an order as an internet order.

1. If the transaction is a stored value card activation for Orbital Gateway, use the merchant # defined in the Stored Value Card Merchant ID for Activations (L69); otherwise:

2. Use the merchant # from the CC Paytype Cross Ref file. See Defining Vendor Paytype Codes.

• If the pay type is Bill Me Later and the order is an internet order, use the Ecommerce Merchant #. If an Ecommerce Merchant # is not defined, use the Auth Merchant # for authorization transactions and Deposit Merchant # for deposit transactions.

• If the pay type is Bill Me Later and the order is not an internet order, use the Non-Ecommerce Merchant #. If a Non-Ecommerce Merchant # is not defined, use the Auth Merchant # for authorization transactions and Deposit Merchant # for deposit transactions.

• If the pay type is not Bill Me Later, use the Auth Merchant # for authorization transactions and Deposit Merchant # for deposit transactions.

3. If a merchant # is not defined in the CC Paytype Cross Ref file, use the merchant # from the Merchant ID Override file. See Defining Merchant ID Overrides.

• If a deferred pay plan is assigned to the pay type on the order, use the Deferred Merchant ID. If a Deferred Merchant ID is not defined, use the Merchant ID.

• If an installment pay plan is assigned to the pay type, use the Installment Merchant ID. If an Installment Merchant ID is not defined, use the Merchant ID.

• If a pay plan is not assigned to the pay type on the order, use the Merchant ID.

4. If a merchant # is not defined in the Merchant ID Override file, use the Merchant ID from the Authorization Service file. See First Create Authorization Services Screen.

AUTH = Authorization: the service bureau only authorizes credit card charges.

DEP = Deposit: the service bureau only deposits dollar amounts billed to credit cards.

EDI = Electronic Data Interchange: the service bureau transmits purchase order information to your vendors or invoice information to your A/R customers.

IPCS = International Package Consignment Service: the service bureau transmits a file to IPCS for foreign shipments being delivered by this service. This option is not currently implemented.

WIC = WATS Inventory Count: the service bureau transmits an inventory file to another system to keep the item pricing and availability information in both systems in sync.

Description

The name of the service bureau.

Merchant

The account number assigned by the service bureau to identify transmissions to/from your company. This is the default ID number; you can also specify separate ID numbers for each entity in your company, and/or to use for orders using deferred or installment billing.

Purpose: Use this screen to define a service bureau on your system. The Authorization Service record contains information that identifies your company to the service bureau and the parameters that you must include in the transmission to the service bureau.

Each service bureau requires its own information. Not all fields are applicable for each service.

Note: In order to process foreign credit cards separately at billing, you must define a deposit service in this file with a code of PRE, and then define PRE as the deposit service in the Pay Type file. Charge description

A description that identifies your company's product line or the type of service performed.

Errors During Transmission

If an error occurs during authorization or deposit transmission, the transmit error message includes the Charge description for the service bureau that caused the batch authorization job or deposit job to go on message wait so that you can identify which authorization/deposit service failed. For example, if the Charge description is PAYMENTECH, the error message displays as:

Errors occurred during the PAYMENTECH data transmission.

This field indicates whether to exclude orders associated with this authorization service from a deferred or installment pay plan. If an order includes any pay type whose authorization service has this field set to Y, the order is not eligible for a pay plan.

Valid values are:

Y = exclude from pay plan

N = do not exclude from pay plan

Enter values in the following fields if you are transmitting messages to the service bureau via CWIntegrate.

Online auth

Enter the name of the integration layer process used to transmit online authorization XML messages to the service bureau via CWIntegrate.

You can only enter a value in this field if you are using online credit card authorization; if the On-line Authorizations (B89) system control value is set to N or blank, an error message displays: Online Authorization Ineligible Check SCV B89.

Integration Layer process codes are defined in and validated against the Integration Process Control file. If you enter a value that is not valid, an error message displays: Integration layer process not found.

Description

Media type

The method by which the data is transmitted to the service bureau.

Valid values are:

C = Data communications

T = Tape media

Alphanumeric, 1 position; optional.

Batch/Online

A code that indicates whether authorizations will be transmitted to/received from the vendor immediately (online) as each order is entered, or whether groups of authorizations will be transmitted to/received from the vendor at predefined times during the day (in batch).

Valid values are:

B = Batch: Authorization information will be grouped and transmitted to/received from the authorization service at predefined times throughout the day.

I = Online: Authorizations will be transmitted to/received from the authorization service immediately for each order.

C = Online or Batch: Authorization will be transmitted to/received from the authorization service immediately if the order is eligible for online authorization. Any order that does not receive an authorization immediately will be grouped and transmitted to/received from the authorization service at predefined times.

Alphanumeric, 1 position; optional.

Activate production system

A code that indicates whether you are processing in a live environment (production) or in a testing environment.

Valid values are:

Y = Authorizations/deposits are being processed in a live environment.

N = Authorizations/deposits are being processed in a testing environment. Authorization/deposit information is updated to a test file (called AATRPF); this information is not transmitted to the authorization service.

Alphanumeric, 1 position; optional.

Installment billing?

This value indicates if the service bureau supports installment billing of credit cards. Installment billing plans are typically established for high cost items.

Note: This field is not used to set up an installment pay plan in CWDirect. See Chapter 6 for more information.

Valid values are:

Y = The service bureau supports installment billing.

N = The service bureau does not support installment billing.

Alphanumeric, 1 position; optional.

Immediate response

This value indicates whether authorizations are sent and received through a single modem connection, or whether you must transmit the authorizations and reconnect to the authorization service at a later time to receive the authorization information.

Valid values are:

Y = Authorizations are sent and received in the same modem connection (immediate turnaround).

N = Authorizations are sent in one modem connection and received in another session (delayed turnaround).

Alphanumeric, 1 position; optional.

Immediate deposit

This value indicates whether the service bureau sends a detailed response to CWDirect.

Valid values are:

Y = The service bureau does not send a detailed response back to CWDirect; CWDirect marks the transaction as received and subsequently confirmed.

N = The service bureau sends a detailed response back to CWDirect; CWDirect waits for the response based on the Wait time defined for the integration layer job.

Alphanumeric, 1 position; optional.

Keep history information?

This value indicates whether transaction records sent to the service bureau will be kept online. Typically, this feature is used in test environments.

Valid values are:

Y = Keep the transaction records on-line.

N = Do not keep the transaction records on-line.

Alphanumeric, 1 position; optional.

Detail info (Detail information)

This value indicates whether you will store detail information from transmissions to the service bureau, such as which items are being charged on the credit card.

Valid values are:

Y = Keep detail history information

N = Do not keep detail history information

Alphanumeric, 1 position; optional.

Address verification

This value indicates whether you will be using the Address Verification Service provided by the service bureau to verify the customer's address and credit card number.

Valid values are:

Y = Perform address verification

N = Do not perform address verification

Alphanumeric, 1 position; optional.

Decline days

The number of days to hold a declined credit card charge on the system before sending it for an authorization again. This field is not currently implemented. See Defining Vendor Response Codes for setup information.

Numeric, 3 positions; optional.

Industry format code

A code that is assigned by the Authorization Service to identify your company type. Use this field to enter your DBA number.

Alphanumeric, 5 positions; optional.

Primary auth service

The authorization service that this service uses for its transmission setup. Orders sent to this service for authorization are directed to the primary authorization service defined in this field. If this field is left blank, the data created for this service will be used for authorizations.

Example: LTA is an authorization service that directs its data to the LTE (TJ Litle) authorization service. You use LTA to separate certain pay types, for example a promotional credit card, from all other pay types that are authorized through TJ Litle. All pay types you send through LTA to the TJ Litle authorization service are received back on hold whether they have been approved or not. You then decide whether to release the order from hold based on the response code associated with the order. See Defining Vendor Response Codes.

CWIntegrate processing: Enter.IL in this field if you are transmitting authorizations and deposits to the service bureau via CWIntegrate. See Processing Authorizations and Deposits using CWIntegrate.

Alphanumeric, 3 positions; optional.

Deposit telephone number

The telephone number that is dialed automatically when transmitting the Deposit file to this service bureau, if using an autodial modem.

The authorization program automatically changes the telephone number in the control description if a telephone number has been defined here.

Numeric, 11 positions; optional.

Authorization telephone number

The telephone number that is dialed automatically when transmitting the Authorization file to this service bureau, if using an autodial modem.

The authorization program automatically changes the telephone number in the control description if a telephone number has been defined here.

Numeric, 11 positions; optional.

Communication type

This field indicates whether you have a leased-line or must dial the authorization service for batch authorizations. Valid values are:

D = dial up/modem communication.

L = leased-line communication for batch authorizations and deposits.

Note: You must purchase a leased line in order to have a direct connection to the authorization service. If you set this field to leased-line, you must define a port number and provider network address for batch authorizations and deposits.

Online authorizations: If you perform online and batch authorizations and wish to use modem for batch authorizations and deposits, set this field to D or blank. The system does not use this field for online credit card authorizations. The leased line used for online authorizations is defined in the Online Authorization Socket Server job. If you perform batch and online authorizations, make sure the port number you define for batch authorizations is different from the port number you define for online authorizations.

Processing via CWIntegrate: If you communicate with the service bureau via CWIntegrate, you can leave this field blank. You define communication protocols within the CWIntegrate site used to translate and transmit data between CWDirect and the service bureau. See Processing Authorizations and Deposits using CWIntegrate.

Alphanumeric, 1 position; optional.

Response check frequency

This field indicates the number of minutes to wait between checking for a response from the authorization service if you use a lease line. The system will continue to check at this interval for a total of 20 minutes.

Numeric, 3 positions; optional.

Test mode?

This field indicates whether you are transmitting in test mode using a lease line. Valid values are:

Y = Test mode. The system inserts the word TEST in the transmission.

N (default) = Live mode.

Alphanumeric, 1 position; required.

Response time

This field indicates the number of seconds to wait for an authorization response if you are performing online credit card authorization.

Numeric, 5 positions; optional.

Merchant division

Assigned by the authorization service.

Numeric, 5 positions; optional.

Auth service provider

Use Tokenization

Defines whether the service bureau uses Credit Card Tokenization to replace the credit card number on a credit card payment with a token. Valid values are:

Y = The service bureau uses the Credit Card Tokenization Process.

N (default) = The service bureau does not use the Credit Card Tokenization Process.

Port number

The port used for sending and receiving batch authorizations and deposits using a leased-line.

Batch and on-line authorizations: If you define leased-line communication for batch authorizations and you are also using online authorizations, make sure the port number used for the leased-line in batch authorizations is different from the port number used for the leased-line in online authorizations. You define the port number used for online authorizations in the Working with Socket Server Jobs (SOCK) menu option.

Numeric, 5 positions; optional.

Reversal time limit

The number of hours an open, unused authorization for a credit card can remain open before it is ineligible for a credit card authorization reversal. Typically, this is set to no more than 72 hours.

For an order to be eligible for credit card authorization reversal, the order must:

• contain a credit card payment that is associated with a cancellation or deactivation. In this situation, the credit card payment must have an open, unused authorization remaining on the credit card that is not more than the number of hours defined in the Reversal time limit for the authorization service. An open, unused authorization is an authorization that is:

• in an A Authorized or O Authorized, But Not Used status.

• not associated with a printed pick slip for the order.

• not partially confirmed or deposited.

• contain a credit card payment that has a settlement for an amount that is greater than a single authorization transaction for the credit card pay type on the order. In this situation, the authorization to settle against cannot be more than the number of hours defined in the Reversal time limit for the authorization service.

The system uses the Authorization date and Authorization time defined for the Authorization History record to determine the age of the authorization. You can review the authorization date on the Authorization History Details Window.

Provider network address

The network address of the machine where you are sending transactions. Example: 123.456.789.123.

If you use the Chase Paymentech Orbital Gateway Integration, enter the location of the Orbital Gateway configuration files. Example: /CWJava/Orbital.

If you use the Relate Stored Value Card Integration, enter the location of the Relate configuration files. Example: /CWJava/Relate/v16/Prod/.

Numeric, 50 positions; optional.

Instructions:

1. At the First Create Authorization Services Screen Screen, enter the Code, Appl (Application), Merchant, Charge description and any other information required by the service bureau.

2. Press Enter to advance to the Second Create Authorization Service Screen.

3. Continue entering all necessary information to set up the service bureau on your system.

Change Authorization Services Screen

To change: Enter 2 next to an authorization service at the Work with Authorization Services Screen to advance to the Change Authorization Services screen. At this screen you can change any information except the Service code. See First Create Authorization Services Screen for field descriptions.

Display Authorization Services Screen

To display: Enter 5 next to an authorization service at the Work with Authorization Services Screen to advance to the first Display Authorization Services screen. Press Enter again to view the second screen. You cannot change any information on these screens. See First Create Authorization Services Screen for field descriptions.
