Tracking Email Notifications for SuiteApprovals
SuiteApprovals sends the following email notifications to specific recipients with actions done on the record.
-
Record Submission – When someone creates or submits a record and an approver is needed, the next approver gets an email notification.
The person who created or submitted the record appears as the email sender.
-
Approval Routing – Each time an approver approves or rejects a record, email notifications are sent to the following:
-
The next approver, and their delegate (if there's any).
-
Role (Any) or Group (Any) approvers, if there are any, when at least one valid approver acts on the record.
-
If the record is approved or rejected, the employee who submitted it gets an email notification.
-
-
Resubmission – The email recipient depends on what changes were made to the record:
-
The employee who resubmits the record
-
The employee who previously submitted the record
-
The current next approver or the delegate approver
-
The previous approver
If a previously approved record is edited, resubmitted, and approved again, no email notifications are sent. The same goes for a previously rejected record that's edited, resubmitted, and rejected again.
-
-
Delegation – If an employee has a delegate approver, the system sends email notifications to the following employees:
-
The employee who set up the delegation
-
The delegate approver
Delegate approvers also get notified when employees change or cancel their delegation details.
