Overriding User Role Restrictions for Search Results

You can't make saved searches available to users who don't have the required permissions. However, you can lift restrictions on saved search results.

The steps below describe how to make search results available to users even if they're restricted from seeing the underlying records.

Note:

You can't give users access to record types they don't have enough permissions for. See Permissions and Restrictions for more information about the difference between permissions and restrictions.

To make search results available to users restricted from seeing the underlying records (saved searches only)

  1. In the Results subtab, check the Run Unrestricted box.

    This option lets administrators make search results available to users who would normally be restricted from seeing the underlying records. However, users without the correct permissions can't still see the results. See Permissions and Restrictions for more information.

    For example, an unrestricted saved search on leads could help sales reps identify possible duplicates before adding new leads.

    If you enable this option, the Edit and View columns are blank for users whose roles don't have the required permissions.

  2. After you enable Run Unrestricted, you can let search viewers drill down into detailed records from summary search results.

    Check the Disallow Drill Down box to prevent viewers from drilling down into transaction-level data.

    For example, an unrestricted search with summary-level results showing sales reps' revenue totals could disallow drill down to keep commission details private.

Important:

Run Unrestricted and Disallow Drill Down override user roles restrictions, but don't override permissions. See Permissions and Restrictions for more information about the difference between them.
