Managing Exceptions in the Exception Detail Dashboard

The Exception Detail dashboard is displayed when you click the icon in the # of Exception Results column of an exception results row in the exception results page or when you run a control group or control point and click the Review the Results button when it completes execution.  The Exception Detail Dashboard has three main parts:

 

Exception List - displays the control point or control group exception results in a grid. From this grid you can:

For each exception, the following values are displayed:

Display Attributes - The attributes that are configured in the control target defined for the control point or group that produced the exceptions.

Rank - The rank of the exception based upon the variance between the exception value and the threshold value.

Overall Rank - The overall, weighted rank of the exception in the control group. (only displayed for control groups).

Exception Value -  The actual metric value of the exception.

Prior Exceptions - The number of previous exceptions. If there are any prior exceptions, this is indicated by a red flag.

Most Recent Exception Start/End Dates - The start and end dates of the most recent prior exception.

Percent Resolved - The percentage of the exception that has been resolved. You change this percentage in the Exception History panel by modifying the exception status.

Control Point Name 1, 2 - The actual exception value for each control point in the control group. (only displayed for control groups).

Rank 1, 2 - The rank of the exception for the control point, based upon the variance between the exception value and the threshold value.(only displayed for control groups).

 

Exception History - displays the exception history for the selected exception on the exception detail list, for example, a specific store or cashier. In grid display, a row is displayed for every time the control point or group ran and returned exception results caused by the target exceeding the control threshold. The Exception History grid displays the start and end dates of the prior exceptions, exception status, exception values, threshold values, and rank history. For a control group, you can display the exception history for a selected target by each control point included in the control group from the History Detail panel. You can display the results in either a grid or a graph. You can change the Exception status of exception history in this grid to update the resolution percentage. In graph display, a bar chart compares the exception values to the threshold values.

 

Exception Notes - displays notes made by users on the exception target. These notes can be accessed from other control point/group exceptions on which the target may surface. When an exception note is created, the control name, date/time, and user is added for display. You can add, edit and delete notes.

 

The Exception Detail Toolbar

Note: These actions can also be accessed from the Exception Detail menu when viewing the Exception Detail Dashboard in normal screen mode.

You can perform the following actions using these icons on the Exception Detail toolbar:

 

- Return to the Exception Results page.

- Print the exception results. You can print just the selected exception, or you can print all exceptions by selecting the Include All Exceptions option in the dialog box.

- Export the exception results report to PDF. You can export just the selected exception, or you can export all exceptions by selecting Include All Exceptions in the prompt.

- Refresh the exception results.

- Execute a link to a target report or document from one or more exceptions selected in the Exception List or one or more date periods selected in the Exception History panel.

- Create or edit links to target reports or documents for the control point or group that produced the exceptions.

- Go to normal screen mode from full screen mode.

- Go to full screen mode from normal screen mode.

 

To execute links from the Exception Details Grid:

  1. In the Exception Details grid, select the attribute elements on one more exceptions. To select multiple rows, hold down the Ctrl key and click on each attribute element.

  2. Choose Link from the context menu, or click the Link icon in the toolbar.

This displays the target report or document for the selected exceptions using the date period of the exception result set. If the link is configured to present the prompts in the target report or document, the prompts are displayed first.

 

To execute links from the Exception History panel:

  1. In the Exception Details grid, select the check box next to the exception you want to review.

  2. Select one or more date periods in the Exception History grid.

  3. Choose Link from the context menu, or click the Link icon in the toolbar.

This displays the target report or document for the selected exception and date periods.  If the link is configured to present the prompts in the target report or document, the prompts are displayed first

 

Note: You can also create links to target reports or documents from the Exception Detail Dashboard. For more information see: Adding Links to Controls.

 

To update exception status:

  1. Select the check box next to the target row for which you want to update the exception status.

  2. In the Exception History panel, make sure the Grid tab is selected.

  3. Select one or more date periods in the grid. To select a contiguous set of rows, click on the first row in the series, hold down the Shift key, and click on the last row. To select multiple separated rows, hold down the Ctrl key and click on each row.

  4. Click the Update Exception Status icon. This displays a dialog box with a list of all the available exception statuses and the associated resolution percentage. Note: Exception Statuses are maintained in Project Defaults.

  5. Click the radio button next to the status you want to apply to the selected sets of exception history.

  6. Click OK in the confirmation prompt.

This updates the exception status. The Percent Resolved column in the Exception Detail list displays the updated percentage. In the Exception Results page, the Resolution % column shows the updated percentage for the whole exception results set. This is the average percent resolved for all exceptions in the result set.

 

To add an exception note:

  1. In the Exception Notes toolbar, click the Add icon.

  2. In the Add Exception Note dialog, enter a note in the text box and click OK.

  3. Click OK in the confirmation prompt.

To edit an exception note:

  1. In the Exception Notes grid, select the note you want to edit.

  2. In the Exception Notes toolbar, click the Edit icon.

  3. In the Edit Exception Note dialog, make the necessary edits to the note in the text box and click OK.

  4. Click OK in the confirmation prompt.

Note: The ability to edit an exception note you created or an exception note created by another user is based upon the user's privileges.

 

To delete an exception note:

  1. In the Exception Notes grid, select the note you want to delete.

  2. In the Exception Notes toolbar, click the Delete icon.

  3. In the Edit Exception Note dialog, make the necessary edits to the note in the text box and click OK.

  4. Click OK in the warning prompt.

Note: The ability to delete an exception note you created or an exception note created by another user is based upon the user's privileges.
