The following program description deals with:

Remarks on the Program Function

By use of this program you can maintain the basic data of the promotion records in the system, i.e. insert new records, edit and delete the existing ones. You can also display the data on the screen for enquiry only. Promotions are assigned directly to a company.

Notes:
A new algorithm for promotions can be used with MICROS Retail OSCAR POS by setting up the following environment variable in the "oscar.ini file":

Note:

The item prices and the conditions can be changed for a defined period of time with the help of a promotion. For example, a different price, a markdown or a markup can be assigned to a specific item. Furthermore, the user can define that a promotion only applies under certain conditions. For example, the user can define that when a certain item is bought, defined discounts such as value, percent or in kind (buy three, pay two, etc.) are assigned. The type of discount can, for example, also depend on the quantity purchased or on the purchase total.

When a promotion is active, the options defined in the promotion file apply. After expiry of the promotion the original item price applies again. The promotion turnover for items can be stored separately and printed out. 

Program a promotion as follows:

First step: Program the formal data, i.e. assign a promotion no., select the Promotion type, define the start and end dates for the promotion. A table is drawn up, but the true entries, i.e. the items to be ordered, are missing. Further details may be necessary depending on the type of promotion selected. This defines how the promotion prices are to be changed.

Second step: The missing entries are made. These are basically items linked to the promotion. This linkage is done via programs Group, Elements and Promotion item in which items are linked up and assigned to a promotion.

Remarks on the Input Fields

This paragraph will provide a short overview over the options available for updating these Basic Data.

Just like in almost any other program:

Company

Permitted input range: numeric, 1 - 9999

Enter the number of the company for which the promotion is to be processed.

If you do not know the number, you can also select the data record via the Search Function.

The company data is maintained with the Company program.

Promotion

Permitted input range: numeric, 1 - 9999

Enter the number of the promotion to be processed. For a new promotion enter a free no. in the Primary keys.

Descriptor

Permitted input range: alphanumeric, max 20 characters

Enter the name of the promotion. The name should explicit, e.g. Easter promotion, Sale, etc.

Type

Field with fixed preset selection options

A promotion type is linked in program Promotion if this type is to apply to all linked item groups. Alternatively, the user can link another promotion type in program Groups to each group of a promotion if a different promotion type is to apply to a specific group of a promotion. The prerequisite for the varying promotion types per group is that the promotion type no promotion I set in program Promotion.

Select one of the options in the list by clicking the field button and the desired option.

The system offers the following types of promotions:

No promotion

Select this option if only the promotion types in program Promotion group are to apply.

Price promotion

Select this type of promotion if only the price is to be changed for the linked item. Then go to program Promotion group with button Groups in order to link one or more promotion groups for the items required and to define their prices. The promotion price for ll linked items of a promotion are entered in field Promotion price in program Promotion group. If various prices are to apply to the items in a promotion, a different group will have to be set up for each price.

Turnover/Group

Select this promotion type if a Value discount is to be assigned to all linked promotion types. The discount value is defined in field Disc.value. Then change to program Promotion group with button Groups to enter the number of items in Field Quantity for each item of a group.

Example:
Disc.value = 1.00 Quantity = 1
A value discount of 1.00 will be granted on each promotion item sold.

Disc.value = 1.00 Quantity = 2
A value discount of 1.00 will be granted if 2 items of this group or if one item in this group is sold twice.

Turn.percent/Group

Select this type of promotion if a percent discount is to be assigned to the linked promotion group. The percentage value is entered in field Disc.percent. Then change to program Promotion group with button Groups to enter the number of items in Field Quantity for each item of a group.

Example:
Disc.percent = 15 Quantity = 1
A percentage discount of 15% is granted for every promotion item sold.

Disc.percent = 15 Quantity = 2
A percent discount of 15% will be granted if 2 items of this group or if one item in this group is sold twice.

Transaction discount

Select this type of promotion if for all items of a receipt a discount or surcharge should be given. This promotion is only valid for items of a receipt where the option Price change permit is activated in program Item -> Sales.

 

For this promotion type, a Price change type has to be assigned in the field Add data -> Markup/Markdown no. The assigned Price change type must have activated the option Use promot type. As with all other promotions, a valid start and end date and the time has to be set.

 

On request discount

Select this type of promotion if a discount or surcharge will be given maually. This type of discount is only possible during the defined promotion time period. The price change type must have activated the option "Use promot type". This promotion is only valid for items of a receipt where the option Price change permit is activated in program Item -> Sales.

 

For this promotion type, a price change type mustbe assigned in field Markup/markdown no. under the tab "Add data".

Additionally, the option Use promot type should be activated for this Price change type.

As in all other promotions, the promotion is only valid during the defined promotion time period.

Branch

Permitted input range: numeric,  1 - 99999

The entry in this field defines the branch to which the promotion is to be linked. In this case, this promotion is valid only for this House.

 

If the number if not known the data record can be selected via the Search function.

Branch Group

Permitted input range: numeric, 1 - 99

Enter the branch group for the promotion.

The promotions can be organized by branch groups. Branch groups are defined and maintained in the system with the program Branch Group.

Enter the number of the appropriate branch group. If you do not know the number, you can select the data record via the Search Function.

Profit center

Permitted input range: numeric,  1 - 99999

The entry in this field defines the profit center to which this promotion is to be linked. In this case, this promotion is valid only for this profit center.

 

If the number is not known the data record can be selected via the Search function.

Customer type

Permitted input range: numeric, 1 - 9999

Enter the number of the customer type to be linked to this promotion. If you do not know the number, you can select the data record via the Search Function.

Customers can be linked up into customer types and this group can be linked to a specific promotion. Customer types are updated with program Customer type.

Prof.c.type

Permitted input range: numeric 1 - 99

Enter the number for the profit center type which is to be linked to this promotion. If you do not know the number, you can select the data record via the Search Function.

Profit centers can be linked up to a profit center type and this group can be linked to a specific promotion. Profit center types are updated with program Branch -> Profit center type.

Promotion category

Permitted input range: numeric,  1 - 9999

Enter the number of the promotion category to which this promotion is to be linked. If the number is not known the data record can be selected via the Search function.

Promotion categories are updated in program Promotion category.

From main departm.

Entry range permitted: numeric, 1 - 999999

The number of the main department is entered in fields "From main departm." and "To main departm.". This links the items of subordinate departments to a promotion.

This link only applies if the option "Special promotion" has been activated.

Please be aware that this kind of promotion will be given additionally together with other promotions, which are active at the same time of period.

The number of the main section is entered in fields "From main section" and "To main section". This links the items of subordinate section, main department and departmentd to a promotion.

This link only applies if the option "Special promotion" has been activated.

Sector

Entry range permitted: numeric, 1 - 999999

The number of the sector is entered in this field to link the item of the subordinate main section, section, main department and departments to a promotion.

This link only applies if the option "Special promotion" has been activated.

VAT

Permitted input range: numeric 1 - 99

Enter the number of a tax rate for the VAT in this field. If you do not know the number, you can select the data record via the Search Function.

Note:
All items in a program must show the same VAT rate to ensure the VAT of a promotion is calculated correctly.

Start date

Entry range permitted: DDMMYYYY (day, month, year)

Enter the date which is to apply for the start of this promotion and the special promotion prices of the items. If no start and end date is entered the promotion will apply every day.

The entry of a start and end date defines the validity period of a promotion. More limits can be defined for the validity of a promotion, e.g. the promotion is valid from 01.10.2008 until 31.10.2008 but only on Monday, Wednesday and Saturday from 15:00 to 18:45 hrs. with  [Days / Time setting].

Note:
The following rules apply to promotions in beverage supermarkets (OSCAR_OPTIONS=Beverage):

End date

Entry range permitted: DDMMYYYY (day, month, year)

Enter the date which is to apply for the end of this promotion and the special promotion prices of the items. If no start and end date is entered the promotion will apply every day.

The entry of a start and end date defines the validity period of a promotion. More limits can be defined for the validity of a promotion, e.g. the promotion is valid from 01.10.2008 until 31.10.2008 but only on Monday, Wednesday and Saturday from 15:00 to 18:45 hrs. with  [Days / Time setting].

The following rules apply to promotions in beverage supermarkets (OSCAR_OPTIONS=Beverage):

 

Daily start time

Entry range permitted: HHMMSS (hour, minute, seconds)

The entry in this field defines the start time at which this promotion and the special promotion prices are to apply. Entry 00:00:00 means that only start and end date are checked.

Note:
The following rules apply for promotions in beverage supermarkets (OSCAR_OPTIONS=Beverage)n:

·        New promotions can only be programmed if the start (start date and start time) are in the future

Daily end time

Entry range permitted: HHMMSS (hour, minute, seconds)

The entry in this field defines the time until which this promotion and the special promotion prices are to apply. Entry 00:00:00 means that only start and end date are checked

Note:
The following rules apply for promotions in beverage supermarkets (OSCAR_OPTIONS=Beverage)n:

·        New promotions can only be programmed if the start (start date and start time) are in the future.

Disc. value

Entry range permitted: decimal, max. 10 digits with max. 2 decimal places

Enter the amount which is to be given as a discount.

Disc.percent

Entry range permitted: decimal, max. 5 digits with max. 2 decimal places

Enter a percentage which is to be given as discount.

Max.articles with promotion

Entry range permitted: numeric, 1 - 99

Enter a value in this field to define how often the offers defined in the groups or elements are permitted during one receipt.

Sales budget

Entry range permitted: decimal, max. 10 digits with max. 2 decimal places

Enter an amount to define the advertising costs for this promotion.

Other Costs

Gross Profit Budget

Button activated : Values in fields Disc.Value and Disc.percent are recorded as a surcharge

Button activated : Price markdowns and discounts are recorded as vouchers
Button deactivated : No promotion voucher

Note:
Finance type Voucher must be stored in the system for vouchers and must be linked in program Branch -> Details 2 in field "Finance no. voucher".

Please ensure that voucher type"1" is entered in the appropriate finance parameters of this finance type to ensure that the voucher slip is printed with a voucher promotion.

Special promotion

Button activated:. This promotion only applies to items of a linked department, main department, section, main section or sector.
Button deactivated: This promotion applies to any item.

This option allows the user to define a promotion for linked items of a specific department or organisation step, e.g. main department, section, main section or sector.

The reports above require the Promotion collection as selection criteria. This selection criteria can be activated to decide whether or not th ereport will be printed in order of promotion number or in order of promtion collection. The fields from-/to Promotion collection will be dimmned if the option "Promotion collection" is not activated.

Enter the number of the Price change type to which the promotion is to be linked.

Price change types can only be assigne to promotions of the type Transaction discount and On request discount

Selection type

Field with fixed preset selection options

Select one of the options in the list by clicking the field button and the desired selection type. If a selection type is assigned to a promotion, the selection criteria must be chosen in program Promotion group -> Promotion selections.

 

Example:

Several items are linked to 1st Selection. Those items should be used in a certain promotion. In that case a promotion has to be created with a Selection type of "1st Selection". In the assigned group the promotion selection of the relevant slection type has to be made.
