Time Processing Setup and Maintenance Tasks

Individuals can report time using time cards, third-party time collection devices, and Web Clock. Line managers manage time cards and changes requests, as do time and labor managers. Time and labor managers can also generate time using various processes.

Here's the high-level processing that happens for time reported with Web Clock and third-party devices:

  1. The import process validates event-related time data and creates or completes time entries.
  2. Time and labor managers resolve any badge and time entry exceptions identified during this validation.

Here's the high-level processing that happens for all time reporting and management methods:

  1. Time entry rules that validate reported time run when people save time cards and submit them.
  2. Managers resolve any time entry exceptions identified during this validation.
  3. Calculation rules run using the time data validated by the time entry rules.
  4. Time consumer validation runs for the relevant calculated time data.
  5. Time consumer administrators transfer time data for further processing, such as payroll and project costing.

    Retroactive changes to people's data can require recalculation and transfer of time card data. Examples of retroactive changes are changes to the payroll relationship or overtime period.

Configure time processing that supports your policies by completing these configuration tasks, in the order listed. All these tasks are in the Setup and Maintenance work area, Workforce Deployment offering, Time and Labor functional area.

Task Description Recommended Help
Repeating Time Periods Create repeating time periods, such as weekly from Monday to Sunday, to use with time cards, approvals, accrual processing, overtime, and balances. You can use the delivered periods or create your own, as appropriate.
Workforce Management Value Sets Optionally review the delivered value sets that people can use when creating time categories and rule templates. Create more value sets as needed.
Workforce Management Lookups Add reasons for audited time changes from time collection devices. Also add reasons for exceptions for incomplete or in error data. Add more time rule classifications, as appropriate. And add your suppliers and supplier events for time collection devices so that people can create time device event mappings.
Time Categories Identify the time entries to use in time rules, summaries, analytics, and transfers according to your time processing policies. Delivered time categories include All Absence Entries, All Payroll Entries, and All Project Entries.
Time Consumer Sets

Enable informational workflow for everyone linked to the time consumer set, for these processes:

  • Mass submit and approve time cards
  • Generate time cards
  • Generate time entries
  • Generate time cards from time collection devices

Specify for each time consumer what actions start validation, and what time data to validate. And, select the approval period and the transfer rules to use.

Shift Properties Optionally set shift limits, which you can include in various time rules. For example, create rules that generate exceptions when people clock in late or clock out early.
Time Allocations Optionally allocate time automatically to specific cost segments, such as Department, Fund, and Program, for payment.
Time Allocation Assignments Optionally assign time allocations to individuals directly or using HCM groups. Allocation assignments use effective dating to identify which allocation to use in time rules applicable for the person and time card period.
Work Day Definitions Optionally configure workday definitions that support your policies for earned dates and the day start for overtime. Time processing uses these definitions to derive and use the earned date for time entries that span midnight.
Time Balance Dimensions Optionally start creating your own database items to use as time balance variables in fast formulas. Create time balance dimensions to specify the level and time period to use when summarizing people's time balances.
Time Balance Definitions Optionally finish creating your own database items to use as time balance variables in fast formulas. Create time balance definitions to identify the time data to add or subtract from the time balance.
Fast Formulas Optionally create formulas to use in place of, or in addition to, the delivered workforce management formulas.
Time Rule Templates

Create rule templates that support your time validation, calculation, and submission policies. Use time categories in rule templates to identify the time data to process.

You need to create rule templates for these conditions:

  • You use your own formulas.
  • You use multiattribute time card fields with more than one stored time attribute.

You can use delivered rule templates if the time card field or web clock button stores a single time attribute.

Time Rules

Create time rules using the rule templates.

  • Advanced time category rules identify time events and entries using complex logic not available in the condition components of a time category.
  • Time entry rules validate time entries and generate messages.
  • Time calculation rules generate calculated time, which transfers to time consumers, such as payroll and project costing.
  • Time device rules validate time events imported from time collection devices, create or update time entries, and create time entry exceptions.
  • Time submission rules identify when to automatically save and submit time card entries created with time events imported from time collection devices.
Time Rule Sets Create collections of time submission, validation, and calculation rules and rule sets.
HCM Groups Create groups of people who share common time processing characteristics to link to time processing profiles.
Evaluate HCM Group Membership

Build group membership for a specific date or range of dates. Run this process regularly so that everyone always has the appropriate time processing configuration.

During implementation, refresh the groups that we provide so that you link everyone to a default time processing profile.

Worker Time Processing Profiles

Identify the rule sets, time consumer set, and time card periods to use to validate, approve, and transfer time. Also, to automatically create public holiday entries on people's time cards, set the default value to use for the payroll time type attribute.

The profiles directly link individuals, and indirectly link their managers, to time entry validation and calculation rules. These rules also apply to time entries created using third-party device events and Web Clock events.

HCM Data Loader

Load WFM events and actions that automatically identify retroactive changes to people's data that require the recalculation of their time card data. Use these business objects, available under the product area Global Payroll - Define:
