Completing A Quote Creates Quote Routings (And More)

When a quote's quote details are all OK, you change the status of the quote to complete to indicate the quote is ready to be sent to the customer or prospect.

When a quote is completed, the system creates a quote routing for each person who receives a copy of the account's quotes. When you indicate a person should receive a copy of the account's quotes, you define the routing method (e.g., email, fax, post) and the appropriate address.

Note: Recipients of quotes. You define who receives a copy of an account's quotes on the Account - Persons page. The system assumes (by default) that the main person linked to the account should receive the account's quotes. You can subsequently indicate any person linked to the account should receive its quotes (and turn off the creation of quotes for the main person). In addition, you can manually add additional quote routings to a quote if you need to send the quote to individuals not currently linked to the account. The information that appears on the quote routing record is controlled by the quote route type specified on the respective account / person information:

  • If the quote route type indicates the person's quotes are routed via fax, the person's fax number is used as the routing information. The system knows which of a person's phone numbers is a fax number by the phone type.
  • If the quote route type indicates the person's quotes are routed via email, the person's Email address is used as the routing information.
  • If the quote route type indicates the person's quotes are routed via the postal service, the address constituents are populated with the address specified on the bill address sourcethat is also specified on the account / person information. Note, if the person has a seasonal address effective on the business date, the seasonal address will be used regardless of the value of bill address source.

Regardless of whether the quote is routed via fax, email or post; the routing record is also stamped with the batch process and run number that performs the download of the quote information. In addition to creating routing information at completion time, the system executes any quote completion algorithms plugged in on the account's customer class. For example, you may want to create a workflow process to manage the processing of the quote. To do this, you plug in a Quote Completion Algorithm that creates a workflow process on the respective customer class.
