You might want to change the default workflows to check in solutions with the “In Draft” status, so that they are available to other internal users for searching, viewing, and editing. This section explains how to modify workflows to enable this work process.
Create a new outcome in the first task of the workflow to represent the check-in stage. Then create a workflow branch that has all the same actions as the default “Submit for Review” workflow, with one addition and a few changes to the action.
In the ACC, open the Create New Solution workflow.
Copy the Submit for Review branch and rename its task outcome; for example, Check In.
In this new branch, wherever there are actions that change the status of the solution to a status other than In Draft (for example, In Content Review), change the solution status value to In Draft.
At the end of the branch, add a Go to action that jumps to this task itself. Now the Check In outcome sets the solution to the In Draft status, while Submit for Review sets the solution to the In Content Review status.
In ATG Service Center, agents now see two possible Next Steps when editing a solution: Submit for Review and Check In. If they choose Check In, the solution is in In Draft status and is available to other internal users who have the appropriate owning group and solution status permissions.
