The following program description deals with:


Remarks on the Program Function

By use of this program you can maintain the basic data of the operators, i.e. insert new records, edit and delete the existing ones.

An Employee has to be defined as an operator or as a salesman in order to be able to work with the sales application program on the terminal. A new employee can be inserted into the system only if he is first assigned to a company and a branch.

From the Operator List, the basic data of all operators (or the selected ones) can be produced. The actual status of the operators is shown in the Operator State List.


Remarks on the Input Fields

This paragraph will provide a short overview over the options available for updating these Basic Data.

Just like in almost any other program:


Company

Permitted input range: numeric, 1 - 9999

Enter the number of the company to which the operator is to be assigned. If you do not know the number, you can select the data record via the Search Function.

The description of the company will be displayed on the right.


Branch

Permitted input range: numeric, 1 - 9999

Enter the number of the branch, to which the operator is to be assigned. If you do not know the number, you can select the data record via the Search Function.

The description of the branch will be displayed on the right.


Operator

Permitted input range: numeric, 1 - 99999999

To add a new record, enter an unused number in this input field. For changes or deletions, the records can be retrieved by entering the number of the company, branch and the operator in the respective fields.

Each operator number has to be unique to a branch. The same operator number may, however, be defined for different branches.

The same employee no. can be linked to a variety of operators. The employee no. is programmed under Employee.

Note:


Name

Permitted input range: alphanumeric, max. 20 characters

To insert a new record, enter here the name of the operator. The description is arbitrary, but should be meaningful. After an operator record is retrieved, his name will be displayed on the screen.

This name is an abbreviated name for the operator and is used for displaying or reporting purposes only.


Employee No.

Permitted input range: numeric, 1 - 99999999.

This is the employee number of the operator. The nos. are updated with program Employee.

An operator can also be programmed as an employee and can be linked via the employee staff no.. However, it is also possible to link several operator nos. to  one employee.

An operator no. is linked to a configured employee by entering the employee no. If the operator is also to be programmed as an employee, change to program Employee with this button and program the new operator.


Profit center

Permitted Input range: numeric 1 - 9999

Enter the number of the profit center to which the turnover of the operator is to be transferred.

Note:


Decl.entry para(meter)

Permitted input range: numeric 1 - 9999

Enter the number of the declared entry parameter table which is to be linked to this operator.

If the number is not known, the data recorded can be selected with the Search function.

If the table has not been programmed, branch to program Decl.entry parameter with the button to the right of the arrow and program what is required.

Note:
Linkage of the declared parameters to an operator is only required for declared entry at the terminal and will only be included if the option Use SSP Declared Entry has been set in program Terminal type -> Add.data.

Blocked

Button active: The operator is blocked; recording on the system is no longer possible
Button deactivated: The operator is not blocked.


Supervisor

Button activated: The operator has the supervisor status.
Button deactivated: The operator has not the supervisor status.

If this button is set, the operator has the "Supervisor" status. Such an operator can execute the programs in the system, however, cannot perform the register functions using this operator number. For this reason there are no accounting figures under this operator number.

For practical reasons, an operator with "Supervisor" status should have an operator number which is outside the normal range of numbers assigned to the normal operators (without supervisor status). In this way it is possible, for example, to execute reports using the "From - To" range to exclude this supervisor from the reports.


Supervisor key

Button active: Lock position 2 is simulated.
Button deactivated: Lock position 2 is not simulated.

Certain terminal functions are – in accordance with the parametering – only permitted in lock position 2 – the supervisor lock position (e.g. Void, Receipt lay aside, Price change, etc.). If these functions are to be executed and there is no lock available (e.g. Touchscreen without operating module) this button can be activated and the lock position is simulated.

Note:

An operator can use the supervisor key function for another cashier. The recording procedure is as follows:

  1. Before the function which requires lock position is called up the operator with the supervisor key function should be called. This person then enters a unique operator no. and confirms this with the appropriate key (key code: AUTORIZE; entry on MF keyboard: <Op. no.>:AUTORIZE, with confirmation via key Pos1 (UNIX) or Return (Windows NT)).
  2. The secret no. should then be entered and confirmed. If a secret no. has not been programmed, "0" should be entered.
  3. The cashier can complete the function.

Access other GCs

Button activated : The operator can access the guest checks of the other operators, cashiers or waiters.
Button deactivated : The operator can access his own GCs. ´

Note:

An attempt to take over another GC without this button having been set is rejected by the system with message Other operator.


PIN enforced

Button activated: The input of the PIN number is mandatory at sign on to the system, as well as log-on during sales transactions and running background jobs. The button should also be activated if enforced waiter pen is to be parametered for a waiter. Information on sign-on with secret no. and enforced waiter pen can be found under Sign on.
Button deactivated: Even when the operator is assigned a PIN number, entry of the PIN number is not enforced.


Training Mode

Button activated: If this button is on, the operator works in the training mode.
Button deactivated: The operator is not working in the training mode.

In the training mode, all posting functions carried out on the cash register will not affect the actual accounting or stock data in the system.

A training surcharge can be assigned in the Branch. This amount will be added to the receipt total to prevent these recordings being mixed up with real recordings.


Service

Button active: The turnover of a waiter programmed as Head waiter will be recorded to this person.
Button deactivated: The turnover of a head waiter is booked for the waiter for whom the head waiter made the recording.


External Service

This is not used at the moment.


Head Waiter

Button activated : The operator has the head waiter status.
Button deactivated : The operator is not a head waiter.

A waiter with a head waiter status can sign on another waiter by entering his waiter number. The turnover is booked for the waiter. If a head waiter signs on under his own number, the turnover is booked on his account if button Service has also been set. If not, all recordings will be acknowledged with the message "Wrong key".

Note:

Independent of whether a head waiter has signed on under his own no. or the no. of another waiter the profile of the head waiter is always called up during the recording.

The waiter no. can be changed in a Guest Check if the button Access other GC has been set for the appropriate waiter.

Please note:
An operator with status "Head waiter" can change the information in the sales screen with keyboard event <ENTERHWD> to display the Table for all profit centers in the branch.

The following prerequisites should apply if this function is to be used:

Cashier Waiter

Button activated : No function at present
Button deactivated : No function at present.


PDA Operator

Button activated: This operator can only sign-on at the PDA (PocketPC).
Button deactivated: This operator cannot sign-on at the PDA (PocketPC).

Note:
Please note that this option applies to all operators if it has been activated for at least one operator. Only the operators for whom this option has been activated are shown in the sign-on window. If all operators are to be able to sign on at the PDA (PocketPC) this option should not be active for any operator. If password enforced applies the password from field "PIN BO/PDA".


BO Operator

Button activated: This operator can only sign-on at the administration terminal
Button deactivated: This operator cannot sign-on at the administration terminal

Note:
Please note that this option applies to all operators if it has been activated for at least one operator. Only the operators for whom this option has been activated are shown in the sign-on window. If all operators are to be able to sign on at the administration workplace this option should not be active for any operator. If password enforced applies the password from field "PIN BO/PDA".


Auto. GC

Button activated : A GC is automatically opened.
Button deactivated : A GC is not automatically opened.

With this parameter you can define whether a guest check should be automatically opened with the number of the waiter when the waiter signs on. Cancelling or opening a new GC is possible at any time. Guest checks can only be used if terminal type Waiter mode has been linked to this terminal.

Activation of this button is the prerequisite for use of manual table no. entry.


Item Service Charge

Button activated : Service charge is based on items.
Button deactivated : Service charge is not based on items.

The definition and calculation of service charge are based on four fields.

Basically, the following applies:

Item Service Charge is set up as follows:

  1. In the program Taxes, records other than the actual VAT's can be created whose values are to be used as percentage rates for calculating service charge.
  2. Items and Departments access via the field Service Charge (in the Selling window of the Departments maintenance program) the appropriate tax record and its percentage rate.
  3. During item postings, the service charge is calculated accordingly.

Autom. Sign-off

Button active: After finalisation of a receipt the signed on operator is automatically signed off at the terminal.
Button deactivated: No automatic sign-off at the terminal from finalisation of a receipt.

This function is only effective if the terminal is reserved for use by waiters (see Application -> Organisation -> Terminal -> Terminaltype -> Waiter terminal).


Display transfer out

Button active: The transfer out amount is displayed during the declared entry for the operator.
Button deactivated: The transfer out amount is not displayed during the declared entry.

Note:
Display of the transfer out amount only applies to the signed on operator at the administration terminal if program Declared entry operator has been called up.


Display calc.

Button active: The calculated amount for this operator is displayed during the declared entry.
Button deactivated: The calculated amount for this operator is not displayed

Note:
Display of the calculated amount only applies to the signed on operator at the administration terminal if program Declared entry operator has been called up.


Display Float

Button active: The float amount for this operator is displayed during the declared entry.
Button deactivated: The float amount for this operator is not displayed.

Note:
Display of the float amount only applies to the signed on operator at the administration terminal if program Declared entry operator has been called up.


Display PM w.o. Decl.Entry

Button active: The payment types for which option "Decl.entry enforced" has not been activated are displayed during declared entry.
Button deactivated: Only those payment types for which option "Decl.entry enforced" has been set are displayed.

The calculated value automatically becomes the declared value for payment types without declared entry enforced.

Note:
Display of the payment type only applies to the signed on operator at the administration terminal if program Declared entry operator has been called up.


Cover cost price

Button activated:. The cost price will be shown for this operator in all update program masks and reports.
Button deactivated:  The cost price will not be shown for this operator in all update program masks and reports

Profile No.

Permitted Input range: numeric, 0 - 999

The appropriate profile is linked to the operator here.

Operator-related profiles can be deposited for the following functions:

The summary graphic Profile Organisation shows the various prerequisites and options available in conjunction with profiles and access restrictions.

Note:
Terminal functions (Profiles) can also be set up for Terminal type to block or release general access to terminal functions. However, the profile setting of the terminal type always has priority in these functions.

Example:
The profile permits Void function in lock position 2 for this terminal. The profile of operator 1 shows that this function is only permitted in lock position 1. In this case, all operators even operator 1 can carry out the Void function in lock position 2.


Signon touchpage

Field with firmly defined selection options

The name of the touch page which is to be shown when the operator signs on is entered in this field. If the name is not known the data record can be selected via the Search function.

Note:
The standard is that page "Presets" appears after operator sign-on.


Start menu

Field with firmly defined selection options

Name of the start menu (Dispatcher) which is shown on the screen after sign-on of a valid operator. If no entry is made in this field, the MICROS Retail OSCAR POS standard start menu is shown. If the name is not known, the data record can be selected with the Search function.

Attention:
Start menus can only be programmed by support staff at MICROS Retail s Deutschland GmbH.
Changes made automatically in the standard screen masks after a software update cannot be transferred to operator-related start menus. They have to be re-programmed.

Note:
Assignment of another start menu for an operator assumes that the appropriate application of type Dispatcher and the related screen masks have been programmed in the system.

Start menus are programmed as follows:


Pen no.

Permitted Input range: decimal, max. 20 pos. (no decimal digits)

Enter the number of the pen or the waiter key which is to be linked to the waiter. The number must have already been defined in the (Waiter) pen table.

Note:
The waiter pen no. can be found on the pen itself, but the number of the waiter key can be ascertained with function "Knubbel". A key must be available on your keyboard for this function.


Date of birth

Permitted input range: DDMMYYYY (day, month, year)

Enter the date of birth of the operator/cashier in this field. This entry allows articles or departments to be recorded if the minimum age of the operator applies.

The minimum age required is compared with the date of birth entered in program Department or Item -> Sales. If the system discovers during recording of articles or departments that the operator is younger than is allowed, an error message is sent. In such a case, this article or department can only be recorded by the supervisor in lock position 2.


Salesman

Permitted input range: numeric, 1 - 99999999.

If the operator is also defined to be a salesman, the salesman number is entered here.


Magnetic Card

Permitted input range: numeric

Irrelevant


From Profit Center

Permitted input range: numeric, 1 - 9999

You can define the access restriction of an operator within specific profit centers. If this is desired, the lowest profit center number is to be entered here. If the number is not known, it can be selected by using the search function.

The value "0" in this and the next field means, that the operator may work in all profit centers.

Note:

Update of profit centers is done via program Profit center.


To Profit Center

Permitted input range: numeric, 1 - 9999

If you want to limit the right of access of the operator within specific profit centers. The highest profit center number is to be entered here. If you do not know the number, you can also select the data record via the Search Function.

The value "0" in this and the previous field ("From Profit Center") means, that the operator may work in all profit centers.

Update of profit centers is done via program Profit center.


From Terminal

Permitted input range: numeric, 1 - 999999

You can limit the access of the operators to specific terminals. In this case, the lowest terminal number is to be entered here. If you do not know the number, you can select the data record via the Search Function.

The value "0" in this and the next field ("To Terminal") means, that the operator may work on all terminals.

Note:

The terminals are updated with program Terminal.


To Terminal

Permitted input range: numeric, 1 - 999999

If an operator is only allowed to have access to certain terminals, the corresponding highest terminal number is to be entered here. If you do not know the number, you can select the data record via the Search Function.

The value "0" in this and the previous field ("From Terminal") means, that the operator may work on all terminals.

The terminals are updated with program Terminal


Price Level

Field with fixed predefined selection options

In window Price lists (sub-window: Prices) one standard and up to 5 special prices can be programmed for one item. The entry in field Price level links the operator to a price level.

Please note that price levels 4 and 5 (special prices 4 and 5) are reserved and cannot, therefore, be linked.


Autoris. for Order

Field with fixed preset selection options

The MICROS Retail OSCAR POS application allows the user to restrict item ordering by assigning authorisation levels to the operators. This defines that certain items cannot be ordered by certain operators. Authorisation steps are programmed for the item (program Item, window: Stock, parameter: Autoris. for order) and for the operator. In such a case, an item can only be ordered by an operator with the same or  higher authorisation right. The authorisation applies only to certain items but never to the whole order.

The authorisation is defined by opening the selection window from clicking on it with the mouse and then selecting the appropriate step by a second click. The selection options range from Blocked (the operator cannot order) to Highest priority (the operator can order everything).


Level

Entry range permitted: numeric, 0 - 9999999999

Various operator levels can be entered in this field, e.g. supervisor or manager,, are assigned level 99 and they can change the level for all other operators with a lower level. Entry of a level for operators affects fields "PIN" and "PIN BO/PDA".

 

Note:
If the database is empty or if it is the first entry of the operator level MICROS Retail OSCAR POS must be started in single-user mode and no operator should be signed on.

 

Password entry in fields "PIN" and "PIN BO/PDA" is controlled as follows:

Fiscal program group

Field with fixed predefined selection options

If a fiscalised printer is connected to the terminal, select one of the offered fiscal program groups by clicking on this field and with a second click confirming the selection.

The system offers the following fiscal program groups:

The fiscal program is called up at the terminal with key event <FISCALFUNC>.

 

Additional settings in the MICROS Retail OSCAR POS program are necessary for fiscal operation. Further information and detailed descriptions of the functions of each fiscal program group can be found under Fiscalisation.


Font

Field with fixed predefined selection options

Select one of the offered font sizes if larger lettering is required for the selected user in the update program masks. Click on the field and select the size required from the list offered.

The system offers the following font sizes:

·        Standard

·        Middle

·        Big

Note:
The font size setting for the operator has priority over the automatic setting which is dependent on the screen resolution. This also applies to a screen resolution of 1280 and 16000 Pixel.


Dispenser waiter

Permitted Input range: numeric 1 - 99999999

Another operator no. can be linked to a waiter who is to operate a Drink dispenser. This allows that the number under which the operator is programmed in the system differs from the pen no. (required for the drink dispenser).

Note:


Max. order val.

Permitted Input range: decimal, max. 12 digits incl. max. 2 decimal digits

Enter the maximum value for orders by the operator. If no value is entered (0.00) the order can be completed by the operator for an unlimited value..


Fixed PIN POS

Entry range permitted: alphanumeric, max. 15 pos.

Attention!

Since release OSCAR_POS45_048, passwords are stored encrypted in the database.

 

Please note the following instructions for the encrypted password:

  1. In the login window, the password can be contain now max. 15-aphanumeric characters.
  2. The operator password during sign on at the POS can also be 15-alphanumeric characters. It is up to the user to use only characters in the password which can be entered at the POS.
  3. If not working with fixed password (enter 0 in the field "Fixed PIN POS"), the POS will generate a automatically 4 character password which can be used for the next sign on. This PIN number will be printed in plain text only on a via USB or RS232 directly attached printer. If  there is no such printer attached to the POS, it does not make sense to work with a password  without fixed PIN.
  4. The operator mask has changed (Details 2)
  5. The PIN has changed to "Fixed PIN POS"
  6. The new input field "PIN POS" can be use together with the button "Set actual password" to generate a lost password. This only works for an operator with an existing operator state.
  7. By entering 0 in the field "Fixed PIN POS or "Password Backoffice" the current password will be deleted.
  8. No password is displayed in the operator state
  9. In all reports is a number of "#" displayed or printed instead of the password in plain text. No matter, how long the password really is, if the maximum length in the format specification is E.g. 7, it will be printed "#######"
  10. If MICROS OSCAR POS will be used with a SQL database, it must be ensured that the necessary entries in "oscar.ini" or "oscar.def" must be encrypted  (see document Passwod security).

Please note that display of and changes to the PIN are dependent on the Operator level.

This is the personal identification number of a maximum 10 digits for the purpose of signing on at the terminal and running background jobs. This number has to be entered at signing on only if the button PIN enforced is set.

The value of 0 means that the operator can work with a variable PIN number, i.e. the PIN for the next sign-on is provided after the sign-off. Every other entry is interpreted by the system as a firm PIN. Further information can be found in the section Sign On.

Note:


Password Backoffice

Entry range permitted: alphanumeric, max. 15 pos.

Attention!

Since release OSCAR_POS45_048, passwords are stored encrypted in the database.

Enter the PIN which the operator has to enter during sign-on at the administration workplace. The entry in this field only applies if PIN enforced has been parametered and if the option "BO Operator" has been activated for this operator.

 

Note:
When a PDA is in use this PIN applies to the sales program (KassePocket) and the back office program (PDADispatch).

 


PIN POS

Permitted input range: numeric, 1 - 9999

This input field "PIN POS" can be use together with the button "Set actual password" to generate a lost password. This only works for an operator with an existing operator state.

 

Note!
This is only necessary if not working with fixed password (enter 0 in the field "Fixed PIN POS"), when the POS will generate an automatically 4 character password which can be used for the next sign on.


Fixed float

Permitted Input range: max. 12 digits incl. max. 2 decimal digits

If the float function is used, a float amount should be entered here. This is automatically recorded as the change in drawer when an operator signs on.

Note!


Drawer

Permitted input range: numeric, 1 - 99999

This is the drawer number. An entry of "0" denotes that no drawer is connected to the terminal. If more that one drawer is connected to the system, the drawer with this number will be opened for the operator when a receipt or guest check is settled.

Note:
The time the drawer can remain open before a message is sent is entered in seconds in program Terminal type, field Drawer timer.


Service Charge

Permitted input range: numeric, 1 - 99

Basically, the following applies:

Service Charge is set up as follows:

  1. In the program Tax, records other than the actual VAT's can be created whose values are to be used as percentage rates for calculating service charge.
  2. In the field Service Charge, the respective tax number from the program Tax is entered. If you do not know the number, you can also select the data record via the Search Function.
  3. The operator will get a percentage of his total sales, based on the percentage rate defined in the tax record with the service charge number entered here.

Tronc No.

Permitted Input range: numeric 1 - 9999

This parameter is not used at the moment.


Station

Permitted input range: numeric, 1 - 9999

Enter the station no. in this field in which the operator is to work. A station is made up of tables linked to a profit center and the waiter is responsible for serving at them. Linkage to a station is necessary if dynamic table has been selected at a screen-based terminal (see Dynamic table).

Note:


Language

Entry range permitted: numeric, 1 - 99

The entry in this field defines the language to be shown at the administration workplace and on the terminal after sign-on. If the terminal is also to be shown with a user-related language the appropriate screen layout must have been linked in field "Touch layout".

 

Note:
If display of terminal in a user-related language is required the FGL file "patchTouchLayout.fgl" (oscar patchTouchLayout.fgl Language) must be executed after a conversion (oscar convert) when an older database is transferred. This ensures that the language is added to the touch layouts. In addition, the environment variable  " MICROS Retail OSCAR POS_CLIENTLOADALL=Y" must be set in file "oscar.ini". The layouts are then provided for the appropriate languages in the client database.


Touch layout

Entry range permitted: numeric, 1 - 9999

Enter the number of the touch layout if a specific layout is to be displayed after sign-on at the terminal.

 

Note:

Please note that a touch layout must match the program in use. The linkage of a touch layout to a program can be found under POS program / Touch layout. The linkage of a language also allows an operator-related Language to be set for the terminal and the administration terminal. When the operator signs on the user interface and the touch layout are shown in the linked language.


SafePay Menu

Entry range permitted: numeric, 1 - 99999

The number of the text group with the texts related to a SafePay device are entered in this field. Different text groups for various menu functions can be stored in the system for each operator. This menu is called up at the terminal with key event <SPFUNC>.

The text group must be type "Text for SafePay" and must be stored in the system under nos. 4400 to 4499.

Alternate ID

Permitted input range: alphanumeric, max. 20 characters

This entry of an alternate Operator ID is only necessary for the usage of Wireless EFT's, to link an MICROS Retail OSCAR POS operator to the Operator ID entered in the EFT device.

Hand Stock No.

Permitted input range: numeric, 1 - 9999

A stock of type Hand stock is a special form of stockkeeping. Hand stocks are normally set up for special items for a specific operator. The prerequisite for administration of a hand stock is that a stock has been configured with the option Hand stock in program Stock location. In addition the Hand stock no. should also be linked in program Operator and the option Hand stock should have been set in program Item for the item concerned.


From Table

Permitted input range: numeric, 1 - 99999

This field defines the restriction of a waiter for specific table numbers. If a value of "0" is entered here and in the following field ("To Table"), the waiter may work on all tables.


To Table

Permitted input range: numeric, 1 - 99999

If a waiter is restricted to certain tables, enter into this field the highest table number he may work on. A value "0" in this and the previous field ("From Table") permits the waiter to work on all tables.

This parameter is not used at the moment.


Autom. logout type

Field with firmly defined selection options

Select one of the sign-off types offered for the operator by clicking on this field and with a second click confirming the option required. The system offers the following sign-off types:

Note:
Not only the type of sign-off should be entered, but also the time in minutes in field ("Autom. logout timeout") after which the operator is to be automatically signed off if there is no activity at the POS. This setting applies only to this operator. If this setting is to apply to all POS of a specific profit center the setting should be made in program Profit center. Please note that this setting only applies to itemising terminals.


Autom. logout timeout

Entry range permitted: numeric, 1 - 9999

Enter a value to define the time in minutes which is to elapse before the operator is automatically signed off.

Note:
The type of sign-off (final signoff, break or intermediate signoff) is defined in field "Autom. logout type" from selection of the type required. If this setting is to apply to all POS in a specific profit center this setting must be done in program Profit center. Please note that this setting only applies to itemising terminals.


Declared to safe

Permitted input range: numeric 1 - 99

No. of the safe to which the entry values are to be transferred from a cash declared entry.

If the number is not known, the data record can be selected with the Search function. Safes are updated via the button Safe in program Branch.

Note:
Only safes for which the option "Cash from/for terminal" has been activated in program Safe. Safes without this option will not be displayed during selection.

Default data

As with the print medium (Parameter -> Printer dialog) or also with the company and branch (Parameter -> Default) where it is possible to make firm definitions this also applies to the operator. Linkage is done via field entries in this sub-window.


Message to Operator

A message can be sent to the display or sales screen of the currently selected operator. Click on Message to operator. A window is opened and the text to be sent can be selected. The procedure is described under Message text .

Operator sign off

When this button is activated operators at terminals which are online will be signed off. Further information can be found under Operator sign off. Normally, the cashier signs off directly at the terminal. If a cashier has, for example, forgotten to sign off, this can be done in the back office.


Unlock operator

An operator who is blocked ("Cashier blocked" appears on the screen/in the display) in the system can be unlocked with this button. Further information can be found under Unlock operator. Operators who are signed on at a terminal which has gone offline are "signed off" with this button. Unlocking an operator with this button has no relationship to button Blocked.
